Job overview

We are seeking a proactive and detail-oriented Administrative Assistant to join our Chemical Pathology team on a job share basis. This vital role supports the Consultant Clinical Scientists, Lead Biomedical Scientist, and other senior staff in delivering high-quality diagnostic services within Pathology.

We are looking for someone with proven experience in a secretarial or administrative role, including audio typing, knowledge of medical terminology, strong IT skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and is a team player with the ability to work independently and take initiative.

This is a fantastic opportunity to contribute to a dynamic and supportive team at the forefront of clinical diagnostics. The job share arrangement (16 hours: Monday to Thursday afternoons and 12 hours: Tuesday and Friday)

Main duties of the job

The post holder provides comprehensive secretarial and administrative support to Consultant Clinical Scientists, the Chief Biomedical Scientist, and senior laboratory staff within the Clinical Chemistry Department. Responsibilities include managing electronic diaries, arranging meetings, preparing agendas and minutes, handling correspondence, and maintaining accurate electronic and paper filing systems. The role involves processing clinic letters, booking and updating patient details using laboratory and hospital systems, typing reports and documentation, and extracting information for audits. The post holder liaises with patients, relatives, clinical staff, and external laboratories, handling telephone enquiries and communicating laboratory results in line with data protection and confidentiality requirements. Additional duties include organising specimen dispatch to referral laboratories, preparing documentation, checking invoices, maintaining departmental records, and undertaking required training to support service delivery.

Qualifications

Essential criteria
  • Good general level of education to GCSE level or equivalent including English and Maths
  • Evidence of continued professional development to NVQ level 3 in relevant subject
  • RSA III or equivalent
Desirable criteria
  • ECDL or alternative IT qualification

Experience

Essential criteria
  • Experience in use of audio and working in a secretarial capacity.
  • Experience of working with the public and handling difficult situation.
  • Knowledge of medical terminology. Experience of working in a busy environment.
