Job overview

To provide a comprehensive Front of House/Reception 
administrative service in the Education Centre. 
The post holder will work in a busy environment with frequent 
communications by telephone, e-mail and visitors.  They will 
work within set procedures. Guidance and advice are readily 
available from members of the Integrated Education (Medical) team.  


To prioritise the demands of this role and work to tight 
timescales, whilst maintaining the required standards.  

Main duties of the job

The post holder will have specific responsibilities for: 
 
Information Management 
 
 Responsible for the management of the room booking system, ensuring that all 
resources in the Education Centre are used to their maximum capacity and to 
trouble-shoot any problems with external provider.  Designated ‘super-user’ for 
system with access to add and remove users. 
 
 Provide information for reports of room usage in the Education Centre through 
collating appropriate data from the room booking system used in the Education 
Centre for use in reports for various forums and meetings on behalf of the 
Deputy Head of Medical Education & Knowledge Services, Assistant Director 
HR (Education) and Programme Leader as required. 
 
 Maintain and report metrics, Key Performance Indicators (KPIs) linked to Trust 
and National Governance processes and produce data and information for 
reports as requested.

Qualifications

Essential criteria
  • Good level of general education including Maths and English
  • NVQ level 3 in Business Administration or equivalent level of knowledge and experience
Desirable criteria
  • ECDL or alternative IT qualification

Experience

Essential criteria
  • Evidence of good written and verbal communication skills
  • Relevant experience in utilising IT including databases, room booking systems, AV technology and other Social Media systems
  • Previous experience of working as part of a team in a busy environment
Desirable criteria
  • Ability to upload videos onto YouTube.
  • Experience of recording and downloading teaching sessions/presentations.

Skills / Knowledge / Abilities

Essential criteria
  • Good working knowledge of IT systems including the Micro Soft Office package to at least an intermediate level.
  • Able to maintain confidentiality
  • Good team working skills
  • Demonstrable evidence of high standard of inter-personal and team working skills and capability.
Desirable criteria
  • Customer Care and evidence of effective communication skills through previous work or voluntary activities.
