Job overview

To work within the RESPS team providing an effective and efficient 
administrative service to RESPS.
To undertake daily operation of the SystmOne computerised 
information system or alternate system as required. Inputting of a 
variety of patient information into the system. Booking patients in to 
clinics and monitoring the urgent duty phone line. 
To deal with sensitive information and be able to empathise with 
clients, colleagues and others. Seeking support from senior 
administrators as required. 

Undertake general clerical duties including photocopying, filing, 
emails/letters using Systmone.
Attendance at team meetings, service meetings as requested.

Main duties of the job

Band 2 Administrator-30 hours per week-permanent

We’re looking for a Team Administrator to join our Respiratory (RESPS) Team at East Sussex Healthcare NHS Trust.

You’ll play a key role in providing efficient and effective administrative support to ensure the smooth running of the service. This includes managing patient information using SystmOne, handling calls and emails, booking appointments, maintaining accurate records, and offering excellent customer service to patients, carers, and colleagues.

We are looking for someone with proven recent experience in administration, well-developed communication and interpersonal skills are essential as well as excellent organisational and time management skills. You must also be able to work both as part of a team and autonomously.

Qualifications / Training

Essential criteria
  • Good general education to GCSE standard including English and Maths
  • NVQ2 administration / data processing or equivalent knowledge and experience
Desirable criteria
  • ECDL or alternative recognised IT Qualification

Experience

Essential criteria
  • Previous experience of dealing with the general public
  • Experience of administration in a busy office environment
  • Awareness of confidentiality issues
  • Good computer skills with experience using Microsoft office – Word, Excel and Outlook
Desirable criteria
  • Previous experience of communicating with professionals and members of the public on the telephone
  • Previous NHS administration experience

Skills / Knowledge / Abilities

Essential criteria
  • Good communicator, with ability to communicate both verbal and written information accurately.
