Job overview

To provide comprehensive administration and secretarial support to the Adult Safeguarding team to include;

·       Named Nurse Safeguarding Adults,

·       Specialist Nurses Safeguarding Adults,

·       Safeguarding Adult Sister Adult  

·       ESHT Mental Capacity Lead

 

The post holder following a robust and timely induction period will mainly work unsupervised, managing own workload, which may include small project work on behalf of the Adult Safeguarding team members.

Main duties of the job

Provide day‑to‑day communication support for the Adult Speciality Safeguarding team, managing calls and generic email inboxes and directing enquiries appropriately. Handle, input and maintain highly sensitive information. Coordinate virtual and face‑to‑face meetings for Adult Specialists and the Mental Capacity Lead, arranging venues when required, and take accurate minutes, circulate information, and maintain action logs. Support the team by managing spreadsheets, databases, shared drives and undertaking small improvement projects. Maintain the Safeguarding Adults at Risk and DoLS databases and assist with accurate data capture. Provide administrative support for policies, job descriptions, training resources and general team needs, and offer cover for annual leave or sickness. Follow ESHT policies, participate in training, CPD, appraisals, audits and emergency planning processes. Manage ordering and stock control, oversee patient notes handling, and liaise with IT regarding administrative requirements. Report incidents, arrange repairs, and uphold strict patient confidentiality. Carry out all duties professionally in line with Health & Safety legislation and update PAS with accurate patient information and alerts.

Essential criteria
  • Previous secretarial experience with own responsibility

Qualifications

Essential criteria
  • Good standard of general education to GCSE grade C or equivalent including Maths and English
  • NVQ level 3 in business administration or equivalent level of knowledge and experience
  • Recognised computer/typing qualifications, minimum RSA II standard (or equivalent experience)
Desirable criteria
  • Advanced computer / typing qualification e.g. RSA III (or equivalent experience)
  • ECDL
