Job overview
We have an exciting opportunity for a Medical Rostering Advisor to join our Medical Rostering team.
As well as managing the day-to-day business as usual rostering activities, the post holder will be responsible for fully supporting the implementation of all aspects of the Trust’s Medical e-Rostering Systems. Working with the Medical Workforce Systems Manager, the Medical Workforce Systems Implementation Team and key stakeholders, the Medical e-Rostering Advisor will support the implementation team on rostering performance improvements and the achievement of Medical e-Rostering KPIs in some of the less complicated medical rotas.
This will be a unique opportunity to support medical teams in modernising their working practices and widening participation; design, run and publish research rigorously testing the impact of innovative resource and change management approaches; and make a significant and lasting difference to our frontline staff – and, ultimately, our patients.

As a systems expert the post holder will share their expertise and provide technical support and training to all University Hospitals Sussex Trusts medical users of the medical e-Rostering system(s) and to staff across all levels. The role will include:
- Working with the Medical e-Rostering Team to support the roll out of e-rostering and rostering improvements across the Trust. The aim is to drive efficiency through rostering best practice and communicating the associated benefits to stakeholders.
- The post holder will on the completion of the implementation of the medical e-rostering system, take full responsibility for supporting the less complex departments in managing their rosters.
- Specifically the post holder with take responsibility for setting up the rota on the system, creating the rota, providing high level admin support and most importantly managing the creation of the Junior Doctor rotas which occurs two or three times a year.
- Supporting the development, organisation and delivery of post implementation of e-Rostering training, including the progression into online packages
- Assisting with the provision of an effective, customer focused Medical e-Rostering support service, ensuring data is kept up to date and that changes are completed in a timely manner.
- Being an expert user in relation to the Medical e-Rostering solution and provide support, advice and guidance to managers and end users throughout the Trust.

- Specifically the post holder with take responsibility for setting up the rota on the system, creating the rota, providing high level admin support and most importantly managing the creation of the Junior Doctor rotas which occurs two or three times a year.
- To communicate and support rostering best practice throughout the Trust and provide advice to users on how to improve their rostering effectiveness and performance.
- Support the roll out and management of new and existing e-Rostering areas including system functionalities.
- To support and work closely with the Medical e-Rostering team colleagues to ensure that the workforce have access to timely, quality and well delivered advice guidance and training relating to rostering.
- Provide advice and guidance to medical departments that are looking to move from templated rotas to annualised hours / self-rostering. Explaining how the process work and the benefits it can bring to the Trust, departments and the doctors themselves.
- Work with managers and clinicians within the clinical areas who use traditional rotas to review roster templates and assist managers in the refreshing of their templates.
- Assist with support to the Medical e-Rostering helpdesk team and providing support to the inbox if required.
- To support the Medical Workforce Systems Manager and carry out specific projects as required, escalating rostering issues and any data quality issues as appropriate.
- To assist the Team with ad-hoc tasks, and undertake any other duties reasonably requested in line with the requirements of this post.
- Participate in audits within the e-Rostering team.
- To lead on the post implementation organisation and delivery of e-Rostering training within each of the post holders areas of responsibility, ensuring a sound training plan is developed and maintained
- The post holder is responsible for managing a junior member of the team (and contributing to the working culture in the wider team), the post holder is expected to embody best, most inclusive leadership, in line with the Trust’s Values & Behaviours and True North (best patient care). This will also apply to the way in which they operate Trust appraisal, provide coaching and support to their team, and, as required, take performance and other management action.

- Educated to degree level or experience gained to equivalent level
Knowledge/Experience
Essential criteria
- Experience in using e-rostering systems and knowledge of complex rotas/shift patterns
- Extensive experience of medical rostering
- Knowledge of University Hospitals Sussex NHS Trust Information Technology and e-rostering systems used for clinicians.
Desirable criteria
- Full working knowledge of the medical rostering aspects of the Healthrota system
Skills
Essential criteria
- Able to use IT skills to extract meaningful information from data that has been collected/exported
- Ability to plan, organise and formulate the configuration of rotas
