Job overview

An exciting opportunity has arisen for a motivated and dynamic admin manager to lead our Admin and Clerical Team in the Radiology Department. 

This role will provides Leadership to the administration teams providing Radiology bookings and secretarial support across two Acute Hospital sites and a Community Diagnostic Centre as part of University Hospitals Sussex.

You will be required to be proactive, problem solve and take initiative to ensure best use of Radiology Services.

You will be expected to demonstrate excellent communication and teamworking skills, and proactively engage with various members of staff, both within Radiology and across the wider Trust.

This position requires experience of operational staff management alongside handling complex data. 

Main duties of the job

You will provide management support to the service, working in collaboration with Clinical Teams in the delivery of elective and outpatient lists and ensuring the Trust meets national and local targets. 

You will be responsible for utilisation of resources within the Radiology Department, ensuring all appointments are booked appropriately in accordance with Trust and NHS policy. You will ensure all staff are supported to provide the best service to our patients within the available resources. 

You will be expected to demonstrate excellent communication and teamworking skills, and proactively engage with various members of staff, both within Radiology and across the wider Trust.

You will be expected to manipulate complex data and continuous review of waiting lists.

  • Managing Patient Access to Radiology Services
  • Managing Admin and Clerical Teams   

Role will be based in St Richard's or Worthing Hospital with cross site travel required between the three base sites. 

Be accountable for the delivery of high quality, effective and flexible patient access, clerical and administrative services for the Radiology Department. 

Work withing project teams in the Trust improving systems and process. 

Be responsible for the line management of the Booking hub manager and  Secretarial teams. This will include the overseeing allocation of work, training and development, staff appraisal and recruitment & selection.

Be responsible for supporting the development and monitoring of the systems for collection, recording and use of patient demographics for use by University Hospitals Sussex staff for the monitoring of activity against contracted/commissioned work, to apply this information to waiting list management for the Department.

Actively monitor and take appropriate action related to the maintenance of the waiting lists, in line with Trust and national policies and guidelines. Ensure full utilisation of resources available. 

Work in collaboration with the Service Manager, Deputy Manager and Lead Superintendents in the delivery of the national waiting times for diagnostics services.

Exp / Qual

Essential criteria
  • Degree / Diploma / equivalent experience
  • Experience managing teams - HR processes
  • Significant knowledge of IT systems e.g. MS office
Desirable criteria
  • Experience of working in Radiology department and with NHS IT systems

Skills

Essential criteria
  • Working knowledge of national and local healthcare policies and standards
  • Previous experience of leading service improvements
  • Excellent written and spoken English and interpersonal/negotiating skills

People management

Essential criteria
  • Experience of communicating effectively with patients and their relatives.
  • Significant Experience of line management
