An exciting opportunity has arisen for a motivated and experienced administrator to lead our administrative team supporting Children's and Young People's Intensive Mental Health Services (CYPIMHS), including Inpatient, Crisis and Intensive Home Treatment, Eating Disorder Services, and our developing Day Service.

This is a varied and rewarding role requiring strong organisational, leadership and communication skills. You will manage and support a team of administrative staff across two sites, oversee day-to-day operational processes, coordinate workforce resources, and play a role in ensuring the smooth delivery of services.

We are looking for someone with experience of supervising or managing staff within a busy healthcare environment who is confident working independently, managing competing priorities, and driving service improvements.

Experience of working within inpatient and/or crisis services is desirable.
The successful candidate will work closely with clinical and operational leaders, supporting inpatient, crisis, community, and specialist services through an exciting period of development and growth.

Main duties of the job

  • Provide operational leadership and coordination of administrative services across CYPIMHS, Crisis and Intensive Home Treatment, Eating Disorder, Inpatient and Day Services.
  • Line manage, supervise and develop administrative staff, including appraisal, performance management and training.
  • Lead a high-performing team, promoting collaboration, accountability and continuous improvement.
  • Coordinate administrative resources to maintain service cover and continuity.
  • Support implementation of new services, pathways and organisational change.
  • Work with operational and clinical leaders to support service delivery, quality standards and performance targets.
  • Monitor data quality within electronic patient record systems and ensure compliance with Trust and national requirements.
  • Produce and analyse activity and performance reports to support decision making.
  • Review and improve administrative systems and processes to enhance efficiency and patient experience.
  • Coordinate recruitment, induction and training activities.
  • Oversee key administrative functions including referrals, discharge communications and meeting support.
  • Represent administrative services at meetings, forums and Trust-wide groups.
  • Support estates, facilities, health and safety and business continuity requirements.
  • Manage operational issues, competing priorities and risk escalation as required.

Qualifications and knowledge

Essential criteria
  • Knowledge of a range of work procedures and practices.
  • 3 or more GCSE/O levels which must include English and Maths
  • ‘A’ Level/BTEC Diploma/NVQ3 Business Administration/Customer Service or equivalent experiential learning
Desirable criteria
  • Literacy and numeracy level 2

Experience

Essential criteria
  • Demonstrable experience of practice and procedures relevant to the area of work
  • Knowledge and experience of IT systems e.g. ESR, NPfIT
