Job overview

Are you a highly organised, proactive administrator with excellent data management skills and a passion for delivering high-quality healthcare services? We are looking for a motivated individual to play a key role within our busy Basildon Dispensary team.

In this varied and rewarding role, you will be responsible for producing, analysing and reporting data from the Prescription Tracker System (PTS), supporting service performance monitoring and the delivery of pharmacy Key Performance Indicators (KPIs) within the Right Place Right Time programme. Your analytical skills will help drive service improvement and ensure accurate, timely reporting.

You will also lead the development and maintenance of Standard Operating Procedures (SOPs), ensuring administrative processes are efficient, consistent and compliant.

As the senior receptionist for the main dispensary, you will coordinate staff rotas, support training and development, and provide a welcoming, professional service to patients and colleagues. Main duties of the job

Lead on all administrative functions within the Basildon Dispensary, ensuring efficient and effective service delivery and adherence to departmental procedures.

Collect, analyse and report on dispensary performance data, producing Key Performance Indicator (KPI) reports to support the Right Place Right Time initiative.

Manage and report on data relating to the Prescription Tracker System (PTS), ensuring accuracy and timely provision of performance information.

Develop, maintain and regularly review Standard Operating Procedures (SOPs) covering dispensary administrative processes, ensuring staff compliance and consistency.

Train and support reception staff in relevant SOPs and administrative procedures, promoting high standards of practice and service delivery.

Act as the lead for prescription charges within the dispensary, including collection of payments, invoice processing, daily cash reconciliation and liaison with the Finance Department.

Coordinate receptionist staffing arrangements, including organising annual leave cover and managing weekend and bank holiday rotas.

Provide reception and dispensary hatch cover as required, undertaking associated duties to support patient services, whilst ensuring compliance with Trust policies and procedures and participating in weekend and bank holiday working.

Qualifications

Essential criteria
  • Maths and English grade C/4 or above
  • NVQ level 2 or must be willing to undertake training to level 2 standard
Desirable criteria
  • NVQ level 2 in pharmaceutical science
  • LPET or equivalent qualification in customer care

Knowledge & Experience

  • Previous experience working with the public/customer facing environment
