Ward Clerk - Ophthalmology
Band 3
Mid and South Essex NHS Foundation Trust is the only acute hospital provider in the Mid and South Essex Integrated Care System (ICS), which is a system of health and care partners working together for our local population.
Within Mid and South Essex there are 149 GP practices, operating from over 200 sites, forming 27 Primary Care Networks and one Ambulance Trust. There are also three main community and mental health service providers who work together through a community collaborative.
We collaborate with other valuable partners, including three Healthwatch organisations, nine voluntary and community sector organisations and three top tier local authorities, with seven district, borough and city councils, as well as our local universities.
Job overview
We have an an exciting opportunity to join our Ophthalmology team in our theatre ward at Broomfield.
The Ward Administrator is a key member of the team being responsible for providing a wide range of administrative, I.T. and clerical support.
This patient facing role is expected both to follow specific instructions from the healthcare team and to follow general procedures that involve a greater level of autonomy and decision-making.
Please note that no VISA sponsorship available for this role and the role may close early due to number of applications.
Main duties of the job
Ensure accurate data entry to all computer systems in order to contribute to both patient safety and collection of appropriate income for the Trust.
Prepare patient documentation in advance of a patient’s admission.
Ensure that medical records are requested, maintained and returned within appropriate timescales
Provide high quality reception duties through welcoming and greeting patients, relatives, staff and visitors to the ward in a professional and courteous manner
Maintain good understanding and familiarity with PROW policy and supporting protocols and demonstrate understanding by correct performance of related duties
Liaise with nursing and medical staff to prepare and collate all required documentation prior to ward rounds.
Ensure patient discharge process is completed appropriately on Trust systems and within required time frame. Produce a copy of the discharge letter and file in patient record.
Receive, sort and distribute mail, including redirecting mail for patients who are no longer on the ward
Order stationery using the appropriate documentation/electronic system and ensuring that an agreed stock level is maintained
Undertake any other administrative activities appropriate to this post as directed by the nursing/medical/managerial staff. Such duties will change over time as new administrative processes develop in response to changes in internal and external environments, within which the hospital is required to operate.
