Job overview

An exciting opportunity has arisen to join our Apprenticeship Delivery Team

The MIS & Funding Claims Administrator will be based at Colchester General Hospital although will need to be able to travel to Ipswich as required. 

You will:

  • Manage, prioritise, plan and organise own time and co-ordinate that of your team if appropriate, using extensive knowledge, skills and experience.
  • Create and present data to the team and other departments in the Trust
  • Provide leadership that encourages high performance from other admin staff within the team, with the aim of maintaining optimum efficiency within the department.
  • Train and provide support to enable other team members to deliver an efficient administrative service

This role is Fixed Term/Secondment until 29th January 2027.

Main duties of the job

The role will involve:

  • Responsible for the maintenance of accurate data on departmental systems as appropriate, and creating and presenting reports as requested.
  • Use judgement to deal with a range of routine and non-routine problems that may arise, and only exceptionally refer very complex issues to the appropriate person.
  • Responsible for developing, maintaining efficient electronic and manual filing systems.
  • Take and transcribe formal minutes, and create action plans and administer as appropriate
  • Manage your own workload to ensure completion of the full range of your tasks using the knowledge, skills and experience you have gained. Support other team members to undertake the full range of administrative/secretarial activities.
  • Provide a broad range of administrative support relevant to area, managing calendars and ensuring that urgent matters are actioned and escalated without delay.
  • To actively participate in the development of improvements for the service. Incorporate new practices to take account of new technology, demand/capacity tools.
  • To have an understanding of the other admin roles within the department and ensure other admin staff are aware of your role. Be supportive towards the other members of the admin team and mentor them when required.

Experience

  • Previous administrative role
  • Working collaboratively as part of a team
  • Advanced IT Systems specifically Microsoft Excel
  • Experience of communicating with a range of people both within and external to the organisation
  • Experience of dealing with non-routine administrative matters

Qualifications

  • GCSE grade 5/C or equivalent in English and Maths
