Job overview
The post holder will provide full administrative support across all work streams within the Human Resources Directorate. They will be required to resolve day-to-day problems independently and act as first point of contact for enquiries from a variety of internal and external agencies and/or clients.
This role supports hybrid working.
Main duties of the job
- To provide comprehensive HR administration advice and support by telephone and e-mail to Managers, staff and the HR Department
- To provide, plan, organise and implement a full range of administrative and project support services for the Corporate Business Support work streams, displaying initiative and the ability to work unsupervised.
- To maintain various databases across the HR work streams to ensure accurate records and staff records are continually maintained, working to agreed outcomes.
- To assist the HR team in undertaking audits when required.
- To assist with the collation of employee information producing reports as requested, working to agreed outcomes.
- To be able to adapt and coordinate plans at short notice to attend or coordinate a variety of meetings, conferences, workshops or training sessions.
- To implement and maintain effective manual and electronic filing systems.
- To undertake, maintain and facilitate a variety of Trust projects relating to HR services work streams.
- To develop a variety of procedures and protocols for own work area, working within a variety of Human Resource support work streams to maximise the effectiveness of the department and its objectives.

Detailed job description and main responsibilities
OPERATIONAL RESPONSIBILITIES
- To accurately produce and distribute written material within agreed timescales
- To provide timely and accurate information relating to HR work streams.
- To assist with covering reception areas across Trust sites on an ad-hoc basis as required by the HR Directorate.
- To undertake trend analysis and use this information to put forward plans for future HR initiatives, projects and training programmes.
- To work autonomously, undertaking project work and problem solving to ensure the delivery of a relevant and high quality business administration service is effectively administered and maintained across the HR Directorate.
- To work autonomously within set parameters, which will be monitored by line management .
- To assist in research and analysis of the market for a variety of HR development initiatives and projects working to agreed outcomes.
- To work within established/departmental procedures and practices.
- Work is managed by a delegated Assistant HR Advisor/HR Advisor.
- To ensure the HR sites meeting rooms are kept to a clean and presentable standard at all times.
- To ensure when typing any given work it is done so to a high standard, applying excellent literacy.
- The post holder will be required to implement and maintain the Health and Safety folder for the HR Department in which all risk assessments in relation to the environment/workplace are logged and a record of maintenance issues and outcomes are also logged and retained. Lessons learned in relation to incidents are also to be maintained in the Health and Safety folder.
