Job overview
An exciting opportunity has arisen for an Administrator, Band 2, to work within the Diabetes and Endocrine department at Ipswich Hospital. The post will be 37.5 hours per week, Monday to Friday.
The shifts will alternate weekly – Shift 1: 8am-4pm & Shift 2: 9am-5pm (on a Friday 8:30am-4:30pm)
You will a valuable member of the administration team, assisting with the smooth running of the department. You will be responsible for covering all reception duties and ensuring administrative tasks are completed accurately and in a timely, efficient manner. This may include supporting the Diabetic Foot Clinic.
We are looking for someone with a positive attitude who will be able to work autonomously, be able to prioritise and to work well within a busy and demanding environment.
You will have the ability to communicate effectively with members of the public and various levels of staff, both face-to-face and over the phone. This role is the first point of contact into the Centre so we need someone who will ensure that the Trust's values are used at all times to ensure the expected high standards are maintained.
Main duties of the job
- To provide an efficient Administrative and Reception Service at the Diabetes Centre with flexibility required to cover duties within the Diabetic Foot Clinic.
- To provide an efficient and courteous service to all patients visiting or contacting the Centre.
- To ensure clinics are booked efficiently to maximise capacity
- Provide an efficient administrative service supporting the Clinical and Administrative Teams within the Diabetes Centre – this role will involve flexibility to cover duties within the Diabetic Foot Clinic.
- Providing a friendly efficient and patient focussed reception service at the Diabetes Centre and the Diabetic Foot Clinic.
- Providing an efficient and polite service for callers by answering the telephone in a prompt and courteous manner in accordance with Trust guidelines.
- Remain flexible in duties required on a daily basis, providing cover during the absence of colleagues.
- Supporting with training new members of staff as and when required.

Qualifications
Essential criteria
- GCSE English and Maths at a C or equivalent level
- Evidence of further education / personal responsibility taken to improve their knowledge and skills base
Experience
Essential criteria
- Experience in working with vulnerable members of the public both in person and by telephone
- Extensive previous office based administrative work
- Good telephone communication skills
- Experience of working in a role where multitasking was high priority
- Previous experience of working with confidential patient documentation
- Good verbal and written communication skills – excellent command of English required
Desirable criteria
- Previous NHS administrative experience
- Experience of typing professional level correspondence
Knowledge
Essential criteria
- Confidentiality and Data Protection/GDPR regulations
- Extensive knowledge of use of Microsoft Office
- MS Excel – ability to use excel to manage databases
- MS Word – ability to type professional correspondence
- MS Outlook – managing multiple e-mail boxes
- Proven ability to learn and use new IT Systems quickly
Desirable criteria
- NHS IT Systems
- Experience in Audio Typing
