Mid and South Essex NHS Foundation Trust is the only acute hospital provider in the Mid and South Essex Integrated Care System (ICS), which is a system of health and care partners working together for our local population.

Within Mid and South Essex there are 149 GP practices, operating from over 200 sites, forming 27 Primary Care Networks and one Ambulance Trust. There are also three main community and mental health service providers who work together through a community collaborative.

Job overview

Step into a key administrative role at the heart of our Oncology Department, where your work will directly contribute to delivering exceptional patient care. As the central point of coordination, you will provide a high‑quality, efficient administrative service that keeps the department running smoothly and supports both patients and clinical teams.

You will work closely with a wide range of professionals, liaising confidently with the multi‑disciplinary team, internal departments and external agencies to ensure seamless communication and continuity of care. Your organisation, attention to detail and proactive approach will help us maintain the highest standards of service, ensuring every patient has a positive and well‑supported experience from start to finish.

Main duties of the job

Join our busy, high‑performing administrative team and play a vital role in keeping our clinical services running smoothly and efficiently. You’ll independently prioritise your workload, ensuring tasks are completed within agreed timescales while responding promptly and professionally to both telephone and face‑to‑face enquiries. As the first point of contact for many patients and clinicians, your communication skills will help create a seamless and supportive experience for everyone you assist.

You will manage a wide range of administrative responsibilities, including handling correspondence in a timely manner and maintaining accurate, up‑to‑date Electronic Patient Records in line with Trust policies. You’ll work confidently with the DIT3 system to check and print letters, as well as scan and process confidential information with the highest level of accuracy and discretion.

Strong, effective communication is central to this role, and you’ll liaise daily with consultants, GPs, patients and wider clinical teams to make sure information is shared quickly and clearly. With your attention to detail and commitment to high standards, you will help ensure the smooth and efficient delivery of patient services.

Qualifications

Essential criteria
  • AMSPAR Level 3 Medical secretary diploma or equivalent
  • RSA Typewriting level 3 or equivalent
  • GCSE or equivalent in English and Maths
Desirable criteria
  • NVQ level 3 Business administration and/or Customer Care

Experience

Essential criteria
  • Proven experience of working as a secretary in a busy environment
  • Experience of Careflow/ACP/ICE/DIT3
  • Previous NHS experience
Desirable criteria
  • Digitial Dictation and/or voice recognition
  • Proof reading skills

  • Strong written communication skills
