Job overview

We’re seeking a CYPS Specialist Community Services Admin Lead to drive a high-performing team within CYPS Therapy Services. You’ll oversee referrals and patient pathways, ensure efficient, high-quality admin support, manage ESR and performance data, and keep services running smoothly across three teams.

Main duties of the job

  • To lead a team of Administrators within CYPS therapy services ensuring the provision of a comprehensive, consistent and efficient administrative service, ensuring the right task is undertaken by the right resource, whilst retaining responsibility for undertaking and/or overseeing more complex tasks.
  • To develop a thorough understanding of the CYPS processes related to the referrals and treatment pathways for children and young people.
  • To be responsible for monitoring of the referral/appointment pathways with appropriate Line Management to reduce delays in patient pathways and escalation of concerns to the relevant service lead.
  • Provide cross-cover for the other Administrative Team Leaders within Physical Health CYPS to ensure a consistent and effective administrative service is maintained at all times.

Detailed job description and main responsibilities

  • To be responsible for the management of administrative services.
  • Provide and receive confidential and sensitive information from staff, clients, their carers' and the general public and take the appropriate action to ensure their satisfaction.
  • To ensure all communications are accurate, timely and well presented as per corporate standards.
  • To work as part of the admin team for 3 services providing administrative support and cover absence for staff members as necessary to assist the teams in the delivery of care,
  • To organise admin team meetings, team and individual supervision and training
  • To record and manage absence on the ESR system for administrators ensuring continuity of admin provision
  • Provide data for the Service Leads as required and regular feedback regarding referral information.

  • Educated to GCSE level in Mathematics and English to Grade C or above
  • Diploma or NVQ level 4 in business administration or appropriate equivalent qualification/experience
