THIS POST IS A 12 MONTH FIXED TERM VACANCY

30 hours per week which must include a Monday and Friday.

Are you an organised, proactive individual looking to take the next step in your administrative career? This is an exciting opportunity to join our Administration Team within the Gloucester Integrated Community Team (ICT). We are looking for a motivated Senior Administrator with a strong focus on stock management and a passion for developing efficient processes.

 

Main duties of the job

About the Role

As Senior Administrator, you will play a key part in ensuring the smooth running of our service. A significant aspect of the role involves oversight of Stock Management, including the development and implementation of new stock procedures. You will work closely with the wider team to ensure resources are effectively handled, maintained, and distributed — with regular moving and handling of stock required.

In addition, you will provide high‑quality administrative support across the ICT to help maintain consistency, professionalism, and excellent service delivery.

 

Main Responsibilities

  • Deliver an effective and efficient administrative support service to the Gloucester ICT team.
  • Lead on Stock Management, including reviewing, improving, and implementing new processes.
  • Support the safe and accurate moving and handling of stock.
  • Work collaboratively as part of the wider administration team.
  • Provide timely, professional, and customer‑focused communication at all times.

Detailed job description and main responsibilities

  • Help implement new systems and support with ordering and receiving stock items.  Collating information daily to ensure items are ready for colleagues to collect.
  • To provide a comprehensive and efficient administration service to the multidisciplinary teams within Gloucester ICT.
  • Liaise with suppliers regarding delivery arrangements and returns including shortages, discrepancies, damaged goods and plan delivery and return schedules.

 

  • Open, record, date stamp and effectively manage and distribute all incoming and outgoing post in order to ensure effective communications for the department
  • Acknowledge and respond to queries via telephone, email and in person providing a high standard of customer care, ensuring that enquiries are responded to professionally and relayed accurately and in a timely manner to relevant persons
  • All records are maintained efficiently and accurately and proactive monitoring of retention periods and Trust storage facilities. To ensure ease of access of retrieval of information.
  • All queries and complaints are handled in a professional, helpful and confidential manner and within Trust guidelines.  Responses to be pro-actively managed
  • E-mails are responded to in a timely manner, circulated correctly and with the appropriate importance/sensitivity marker and subject title.
  • Accurate and timely completion of various paperwork in connection with staff e.g. timesheets, annual leave, sickness, variation forms/new starter forms/maternity.
  • Effective use of SystmOne/Excel, recording and accurate inputting of data.

Essential criteria
  • GCSE level education or equivalent Maths and English
  • Good literacy and numeracy skills
  • NVW Level 3 Business Administration or equivalent experience or training
