ESR Self Service Administrator, Band 3 (22.5 hours a week)

We have an exciting opportunity to join our People, Planning and Workforce Information team as an ESR Self Service Administrator, providing system support within the Electronic Staff Record (ESR). We are looking for a motivated, organised and enthusiastic individual with previous administrative or IT experience. The role is based at Beacon House, Gloucester Royal Hospital, working between Monday to Friday. We support hybrid working or job share as a flexible employer, with the expectation of on site working each week.

The proposed interview date is 5th September 

Main duties of the job

The successful candidate will report directly to the ESR Self Service Deputy Manager and work alongside colleagues within Training Systems and the Workforce Information and Planning teams, utilising and supporting stakeholders with ESR functions.

On a day-to-day basis, the successful candidate will be responsible for maintaining hierarchy structures to enable managers to undertake ESR related activity, providing ongoing advice and support to managers and staff in the use of ESR. This includes processing email and telephone queries and regularly running reports to monitor usage of ESR functions.

In addition, as part of the ESR Self Service team, this post holder will be actively involved in the development and promotion of the services provided by the team. 

The successful candidate must have excellent communication skills and a strong customer service focus, with the ability to demonstrate attention to detail and be able to work as part of a diverse and inclusive team. The ability to prioritise and manage your own workload is essential. Previous experience of working with systems and a solid knowledge of Microsoft packages would be an excellent foundation for taking on this role, however, full training will be given and a can-do attitude with a willingness to learn is just as important.

Key Responsibilities

- Support the ESR Self Service Manager in developing the system so it is used for all departments and staff groups across the Trust.

Provide support to ensure that hierarchies are maintained in such a way as to enable the supervisor's responsibilities to meet the needs of the Trust, divisional leads, and external bodies.

- Assist with the inputting of data as required and using reporting tools to monitor usage of key functionality within the system.

- Use automated inputting software to update ESR as directed.

- Provide ongoing general advice and support to staff.  These tasks may be carried out by telephone, face to face, virtually and email. 

- Monitor progress of set tasks and be able to identify and report problems regularly to senior members of the team.

- Adapt work streams as and when required, including the prioritisation of tasks, to meet the needs of the department and the Trust.

- Assist in any other tasks required to achieve the Team objectives.

Qualifications

Essential criteria
  • Educated to academic Level 2 in English and Maths (e.g. GCSE Grade A-C) or equivalent experience
  • Advanced keyboard skills / IT qualification or equivalent experience

Knowledge and Skills

Essential criteria
  • Organisational skills and ability to manage own workload and prioritise work
  • Clear and accurate written and verbal communication skills
  • Ability to analyse a wide range of information and identify errors or issues requiring further investigation with the aim to problem solve and resolve queries
  • Able to give instructions, explanations, and advice to Trust staff in a clear and confident manner
  • Intermediate level of competence in the use of IT applications, e.g Microsoft Office, Teams
  • Able to develop IT and operational skills to meet the needs of changing processes and workstreams within the department
  • Working accurately and paying attention to detail

  • Experience of working in a variety of administrative roles
  • Experience working in busy environment with frequent interruptions
