Job overview

Antenatal Booking Clerk 22.5  hours a week 

Monday, Tuesday and Wednesday 08:30 - 16:30

To provide clerical and  administration support to the  Womens and Childrens Centre and to enter and maintain  clinical data for a range of defined clinical systems. 

Main duties of the job

Skills in these areas would be desirable however full training will be given including other relevant Trust training:

- Ability to work in a team and independently 

- Adhere to the standards set out in the Trust’s Scanning and Quality Assurance of Health Records Procedure

- Scan set number of documents as requested by Lead Administrator on an adhoc basis

- Customer care skills

-Effective communication skills across all disciplines of staff, patients and public

- Knowledge and understanding of confidentiality and data protection in accordance with Trust policy and procedures.

- Able to communicate effectively, and act appropriately and quickly in an emergency

- Experience in using a PC 

- Experience of Trakcare to ensure that tasks can be undertaken according to Trust policy and national standards

- Knowledge and understanding of the Trust including a basic knowledge of roles in other areas

- Some knowledge of speciality terminology and flexibility to support another speciality if required

Detailed job description and main responsibilities

- Demonstrate excellent customer care skills. Provide a “welcome point” for the department, responding to patient, staff and visitor requests appropriately

- Analyse and deal with routine non-clinical problems, following Trust policy and using own initiative to ensure a seamless support service in the clinical area enabling staff to perform in their own roles effectively 

- Receive queries, both in person and on the telephone and manage appropriately

- Prioritise work, ensuring support for clinical staff is always available for the efficient delivery of patient care

- Assist clinical staff with appointment creations, e.g., updating Trakcare 

- Obtain notes, in routine and emergency situations, ensuring clinical staff have access to essential information in a timely fashion. 

- Filing of all patient documentation generated on the ward, ensuring that notes are up to date and accurate when used by Clinicians. 

- Tracing all notes in and out, to ensure notes can be obtained from anywhere at any time in case of clinical need, maintaining data protection and confidentiality according to Trust protocol and procedure. 

- Accurate input of patient details including bed status on Trakcare system, ensuring follow up appointments and procedures have been booked to meet Trust and national requirements.

- Working Knowledge of routine for ordering on P2P and Stationery system.

Qualifications

Essential criteria
  • NVQ 2 or equivalent
  • GCSE English Grade C or above or Grade 4 or above
  • Word processing/IT skills
  • Conversant with Microsoft Office particularly Word/Excel/PowerPoint/ Electronic diary management

Experience

  • Has worked in a busy office environment
  • Demonstrate good written and verbal communication skills
  • Use own initiative and manage time effectively
Desirable criteria
  • Knowledge of Trust Database systems
