Job overview

Patient Safety Alert / CAS Officer – Band 5 (15 hours per week)

We are seeking a highly organised and proactive Patient Safety Alert / CAS Officer to support Trust‑wide compliance with statutory National Patient Safety Alerts (NaPSAs) and MHRA Medical Device Alerts and Field Safety Notices.

Working within the Patient Safety Team, you will act as the central point of coordination for safety alerts, ensuring they are received, disseminated, tracked, evidenced, and closed in line with national and local requirements. You will work closely with divisional teams and key services such as Medical Engineering, Procurement and Pharmacy, providing assurance through accurate record‑keeping, reporting, and escalation of risks where required.

This is a job share role and is ideal for someone with strong administrative and organisational skills, confidence in managing complex information, and the ability to work autonomously while engaging effectively with colleagues at all levels. Previous NHS, patient safety, or governance experience is desirable, but training and support will be provided.

Main duties of the job

Coordinate Trust‑wide compliance with National Patient Safety Alerts (NaPSAs), MHRA Medical Device Alerts, and Field Safety Notices, ensuring timely dissemination, action, evidence collection, and closure.

Act as the central point of contact for safety alerts, working closely with divisional governance teams, Medical Engineering, Procurement, Pharmacy, and clinical services.

Maintain accurate alert registers and tracking systems, including the CAS portal and internal databases, ensuring data quality and completeness.

Monitor progress, escalate overdue or high‑risk alerts, and produce exception and compliance reports for Trust and divisional governance committees.

Support audits and assurance processes relating to safety alert management and regulatory compliance.

Contribute to the development and maintenance of standard operating procedures and internal safety notices to support consistent alert management.

Provide advice and support to staff on alert requirements and processes, promoting effective implementation and learning.

Detailed job description and main responsibilities

1. Key Responsibilities

Coordinating Statutory National Patient Safety Alerts (NaPSAs)

To coordinate the alerts process in accordance with the Trust Safety Alerts Management Policy.

Receive and review all NaPSAs ensuring immediate dissemination to the appropriate Executive Lead and Divisional/Service Leads.

Support Trust compliance with NHS England statutory National Patient Safety Alerting System requirements, including evidence gathering and timely closure.

Maintain accurate, up‑to‑date record of NaPSA compliance status and update the CAS System with the status of each alert

Escalate and produce exception reports for overdue or at‑risk alerts.

- Review the CAS alert website daily to obtain recent publications of guidance

- Provide reports for Divisional and Trust wide committees on NPSA compliance status.

2. Managing MHRA Medical Device Alerts and Field Safety Notices

Receive, triage, and coordinate actions relating to Field Safety Notices, Medical Device Alerts, and other MHRA communications.

Work collaboratively with Medical Engineering, Procurement, Pharmacy, and relevant clinical areas to ensure required actions are carried out, documented, and evidenced.

3. Alert Dissemination, Tracking, and Escalation

Log, track, and document all alerts, ensuring each has a clearly identified action owner and completion plan.

Escalate urgent or overdue alerts to the Patient Safety & Quality Manager / Senior Patient Safety & Quality Manager.

Maintain the Trust’s internal alert tracking systems (e.g., DCIQ, CAS portal, SharePoint registers).

4. Governance, Reporting, and Audit

Prepare regular compliance reports for:

Quality Delivery Group (QDG)

Divisional Governance Boards

Support internal audits on alert processes and compliance.

Ensure risks linked to overdue or high‑impact alerts are entered on the Divisional or Corporate Risk Register where indicated.

Attend relevant meetings to provide updates.

5. SOPs, Processes, and Continuous Improvement

Contribute to the production and maintenance of clear, up‑to‑date Standard Operating Procedures for each alert type (NaPSA, FSN, etc.).

Contribute to process improvements and safety collaboratives relating to alert management.

Support the Patient Safety & Quality Team in developing systems that strengthen learning from medical device incidents and safety notices.

6. Training and Support

Provide support to staff on use of the safety alert system and interpretation of alert requirements.

7. Internal Safety Notices

In conjunction with the Patient Safety & Quality Team develop internal safety notices where emerging risks or device‑specific concerns need rapid dissemination.

Ensure internal alerts follow a consistent, documented process.

8. Administrative and Coordination Duties

Ensure accurate data entry, high‑quality documentation, and timely updating of all relevant systems.

  • Knowledge of the national patient safety strategy and the patient safety incident response framework
