Job overview

The post holder will play a key role in the smooth running and continuous improvement of our Corporate and AHP temporary staffing processes. A vital service that works closely with clinical and corporate areas organising suitable cover to ensure quality of care for our service users. 

Working in a close and friendly team you will be in a fast paced environment handling day-to-day tasks such as new shifts to cover, arranging bank assignments,  liaising with  agencies to ensure process are adhered to and compliance requirements are met, basic systems training, complaints, data entry, and general queries.

This post is full time, Monday to Friday.  Flexible working will be considered during service hours only (0800 - 1700).   The post is office based but occasional working from home will be considered upon successful completion of all training requirements.

Main duties of the job

- Respond to incoming queries and shift cover requests

- Keeping up to date records on the Temporary Staffing System

- Manage the Temporary Staffing email inboxes

 -Liaise with departmental managers and agencies to support the temporary staffing process

- Deliver basic system training to managers

- Ensure compliance is up to date and temporary staffing processes are followed

- Supporting with recruiting candidates to our bank pool

- Attend Weekly team catch ups

- Attend monthly Team Meetings

- Undertake Training as required 

- Maintain a high-level of confidentiality

Detailed job description and main responsibilities

- Duties to be carried out in a professional manner that ensures a high level of customer service to all Gloucester Hospitals Trust customers, both internal and external.

-  Use of online temporary staffing systems to assist in matching ward /department requests for staff cover with availability of staff. Ensuring that documentation and computer data relating to that “matching up” is up to date at all times.

- Respond to any inquiries by email or on the telephone in a knowledgeable, sensitive, timely and customer-focused manner.  Ensuring that confidentiality is maintained at all times when handling personal and sensitive information

- Maintain close communication with Wards/Departments/Clinical Site Managers/ Matrons on a daily basis. Attend Trust staffing meetings in the absence of the team leader, to ensure ‘real time’ information regarding staffing levels and challenges. Liaise with external nursing agencies on a daily basis

- Aim to become a subject matter expert in designated areas of temporary staffing. 

- Provide a high-quality customer service to both internal managers and bank staff when required. 

- To support the administration of payroll processes for bank and agency workers, including the processing and checking of agency invoices to ensure that they are accurate and paid promptly.

- Attend meetings and undertake training, including mandatory and role specific training, to ensure that skills and knowledge are kept up-to-date and appropriate to the post.

- Ensure a working knowledge of current Trust policies and procedures and adapt working practices as appropriate.

Qualifications

Essential criteria
  • A-Levels, T-Level and/or equivalent experience
  • Recent and continued professional development (CPD)

Experience

Essential criteria
  • Experience of working in a busy administrative environment, delivery a full range of secretarial and administrative procedures
  • Previous experience of working towards targets/deadlines
Desirable criteria
  • Previous experience working within clinical environments
  • Previous experience delivering training/workshops

Knowledge

Essential criteria
  • Knowledge of confidentiality and data protection legislation and is able to use discretion where necessary
  • Knowledge of complaints management process
  • Advanced skills using Microsoft Office (Excel, Outlook, PowerPoint & Word)
Desirable criteria
  • Knowledge of Medical Temporary staffing platforms such as Allocate
  • Knowledge of continuous improvement practices
