An exciting opportunity has arisen for a highly motivated and hardworking individual to join the Surgical Division as an Administration Manager on a full time basis to cover a 9 month secondment. 

This is an exciting time to join a fast paced, forward thinking directorate.  

Excellent interpersonal, communication and organisational skills are essential.  This role will be demanding but equally rewarding and will require daily interaction with staff at all levels including senior management and clinicians. 

To succeed in this position the post holder will require the ability to manage multiple and competing priorities whilst ensuring needs of the Administration Teams are met.  The post holder should be able to influence and persuade on Administration matters. 

Main duties of the job

  • Management of Administrative Teams as allocated.
  •  Responsibility for the delivery of specific key performance indicators (KPIs)
  • Work in conjunction with the Deputy General Manager and other Service Units and relevant staff within Trust, and external agencies, to ensure the optimum administrative flow of patients through outpatient and inpatient services.
  • To support the Deputy General Manager in the delivery of Service Unit business objectives taking personal responsibility for designated
  • Provide an administrative and note taking service for meetings within the Division to include preparation of agendas, circulation of documents prior to meetings, minute taking and chasing actions as allocated/requested.

Education & Qualifications

Essential criteria
  • Educated to degree level or equivalent or relevant experience
  • 5 GCSEs grade c or equivalent to include English & Mathematics

Experience

Essential criteria
  • Previous experience of office management
  • Experience of taking and transcribing minutes
  • Experience of dealing with confidential or sensitive issues
  • Experience of working in a NHS Trust environment and interaction with consultants, clinicians and senior managers

Skills, Knowledge & Abilities

Essential criteria
  • Experience of managing own workload and meeting tight deadlines.
  • Proven ability to work under pressure and deal with difficult / stressful situations
  • Knowledge of booking processes for both inpatient and outpatient episodes.
  • Highly developed knowledge of Microsoft Office applications
  • Ability to effectively communicate both verbally and in writing to a wide range of people
  • Minute taking and report producing skills
