Job overview

We are seeking a proactive, highly organised Senior Administrative Assistant to become part of the UK NEQAS Administration team.

The post holder will play a key role in supporting the delivery of cost‑effective and efficient UK National External Quality Assessment Schemes, which provide exercises/surveys and expert guidance to Haematology and Blood Transfusion laboratories both nationally and internationally.

UK NEQAS Haematology and Blood Transfusion are operated by the West Hertfordshire Teaching Hospitals NHS Trust and this post is an NHS appointment based at Croxley Business Park. 

Standard hours will be Monday to Friday, 9am to 5pm, full time.

Main duties of the job

The post holder will be responsible for stock ordering, registration of participants and assisting in the office and administrative functions for the service. 

The successful candidate will have experience of working in a senior administration post, have excellent interpersonal skills, be able to deal with changing workload/ priorities and have a sound working knowledge of Microsoft Office.

Knowledge of accounting practices and software would also be desirable.

Detailed job description and main responsibilities

The successful applicant will provide an efficient and comprehensive administrative support including: 

  • Acts as an administrative point of contact for participants and distributors of UK NEQAS services.
  • Undertakes general administrative tasks, including assisting in the administration of the annual re-registration, preparing quotes, scanning, filing and assists in the administration team on ad hoc projects.
  • Supports the procurement of stock and non-stock goods and stationery items for the UK NEQAS Unit by undertaking stock & inventory checks, tracks orders & authorises supply invoices to be passed for payment to Senior Managers.
  • Supports the credit control process under the direction of the Administration Manager Maintains financial records & prepares credit control letters.

Person specification

Education and qualifications:

Essential criteria
  • Secretarial or office qualification acquired through RSA3, NVQ3 or equivalent experience.

Knowledge:

Essential criteria
  • Knowledge of a range of office procedures and equipment.
  • Basic/intermediate knowledge of the following software packages: text processing, spreadsheets, database and financial management packages.
  • Basic knowledge of VAT regulations.
  • Basic knowledge of non-UK business practice.
Desirable criteria
  • Knowledge of bookkeeping or accounts.

Experience:

Essential criteria
  • General office or secretarial experience.
  • Experience in a healthcare environment.
Desirable criteria
  • Experience in credit control.
  • Experience in invoicing.
