We're looking for a proactive and organised Service Coordinator to support the daily running of the Acute In Hours Visiting Service (AIHVS).

You'll be the main point of contact during your shift, coordinating visits, liaising with clinical teams and GP surgeries, and ensuring timely, efficient service delivery.

Key responsibilities:

  • Coordinate AIHVS team operations and vehicle dispatch

  • Communicate with GP surgeries and internal teams

  • Manage referrals and ensure visits meet service KPIs

  • Complete shift reports and update SystemOne

  • Support performance reporting and service utilisation

Main duties of the job

  • Working to ensure that all calls are answered promptly and meets all associated KPIs

  • To ensure all staffed vehicles are ready to dispatch at their start time.

  • Complete the daily shift report.

  • Working within our clinical system (SystemOne) to ensure we have the correct information for data reports

  • To oversee the clinical team and ensure all visits are dispatched promptly to the correct location, using the most efficient and effective resources available and ensure home visits are conducted in a timely and appropriate manner.

  • To be fully conversant in all aspects of the AIHVS Coordinator role

  • Liaise with surgeries to promote AIHVS and encourage service utilisation

  • Support the Service Delivery manager to collate and distribute Performance Reports on a daily, weekly, monthly basis.

  •  Develop and sustain productive working relationships with colleagues in order to support the team, ensuring safe effective working.

  • To promptly report any IT problems, vehicle problems or security issues and resolve as appropriate.

  •  Escalating any operational concerns in a timely manner.

  • To support the co-ordination of the operational arrangements on the shift in the event of any/all the contingency procedures being put into operation.

  • To maintain confidentiality.

  • To be fully competent in all contingency processes for all relevant services.

  • Excellent communication skills

  • Knowledge of clinical systems (SystemOne / ADASTRA/ web fleet)
  • Experience working within healthcare environment
  • Call centre experience
