Job overview

We are Recruiting for a Workforce Systems Officer on a 6 month fixed-term basis!

The Workforce Systems Officer plays an essential role in supporting the effective operation of Hertfordshire Community NHS Trust’s workforce information and digital systems. The postholder provides efficient and customer-focused systems administration in line with Trust procedures, national guidance, and legislative requirements.

 

 

 

 

Main duties of the job

The role is responsible for the day-to-day administration and maintenance of key workforce systems used across HCT, including the Electronic Staff Record (ESR), Expenses, HealthRoster, TRAC recruitment system, and the Trust’s learning and development platform, My Learning Zone. A key function of the post involves checking, validating and approving Manager Self-Service changes on ESR to ensure data accuracy and compliance.

The Workforce Systems Officer will ensure the smooth and accurate transfer of data between TRAC and ESR throughout the recruitment and onboarding process, supporting managers and HR colleagues to maintain timely and accurate workforce records. The role also oversees the Helpdesk function for the Trust’s expenses system, providing guidance, resolving queries, and ensuring issues are escalated appropriately.

Working independently within established procedures, the postholder is expected to demonstrate strong attention to detail, excellent problem-solving skills, and a proactive approach to service delivery. They will maintain a positive, professional manner at all times, contributing to a high-quality, reliable, and user-focused Workforce Systems service that supports both operational and strategic Trust priorities.

Qualifications and Training

Essential criteria
  • Good standard of education, e.g. GCSE/O-level including English and Maths or equivalent experience
  • NVQ Level 3 or able to demonstrate an equivalent level of knowledge gained through experience

Experience and Knowledge

Essential criteria
  • Experience of IT systems
  • Good working knowledge of Microsoft Office including Word, Excel and MS Teams
  • Previous office experience working in a busy office
  • Experience of working with sensitive data

Skills and abilities

Essential criteria
  • Ability to use initiative to make a decision within own sphere of work and/or knowledge recognising where assistance is required
  • Ability to prioritise and co-ordinate own workload, responding quickly to changes in work requirements
  • Ability to analyse, interpret and present information and identify solutions to problems
