Are you organised, reliable, and passionate about supporting a team that makes a genuine difference? We are looking for a flexible Administrative Assistant (Band 2) to join our busy department.

In this varied role, you will be the welcoming face and helpful voice of our service. Working alongside a supportive team, you’ll interact directly with patients, carers, visitors, and internal colleagues. Whether you are managing front-desk reception, entering data, or helping keep our daily operations running smoothly, your work will directly support high-quality care delivery.

Main duties of the job

Front-Line Contact & Patient Support

  • Provide a warm, professional welcome to patients, carers, and visitors—both at reception and over the phone/switchboard for scheduled and unscheduled visits.

  • Respond to internal and external queries from staff, patients, and other departments, signposting people to the appropriate individual or service.

  • Initiate routine communications with service users (e.g., appointment reminders or updates) via phone and electronic communication systems in line with Trust policies.

  • Assist in collating patient and service user feedback to help us continuously evaluate and improve our services.

Administrative & Secretarial Support

  • Support one or more teams by carrying out volume typing, primarily working from digital dictation.

  • Input key data into systems promptly and accurately to maintain up-to-date records.

  • Assist with essential routine tasks including copying, filing, and managing general paperwork.

Finance & Operational Admin

  • Monitor team stock levels, place supply orders, and process, check, and code incoming invoices.

  • Organize and prioritize your daily workload independently to adapt to shifting team priorities.

  • Maths and English GCSE C Grade or grade 4 or equivalent

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
