Main duties of the job

What you’ll do

  • Coordinate clinics, book appointments and produce letters
  • Process referrals and maintain accurate, confidential records
  • Manage generic inboxes and respond to internal/external queries
  • Act as first point of contact for complex admin questions
  • Escalate issues to keep the service running smoothly
  • Use RiO to transfer patients and manage caseloads
  • Attend meetings and record clear action notes
  • Work on a varied daily rota

Support & Leadership

  • Provide daily support and supervision to Band 2 admin staff
  • Deliver responsive admin support to clinical teams, senior management and the Business Administration Coordinator, including ad‑hoc tasks and projects

Detailed job description and main responsibilities

·       Booking patient clinics and generating appointment letters.

·       Processing referrals

·       Escalating any administrative issues

·       Supporting Band 2 administrative staff in regards to patient queries and general support.

Experience

Essential criteria
  • • Experience in administration and administrative work
  • • Experience of working co-operatively within a team
  • • Experience of organising own day to day work and adjusting priorities in response to the needs of others.
Desirable criteria
  • • Experience of working in a health or social care setting.
  • • Experience in supervising/mentoring junior staff.

Knowledge and Skills

Essential criteria
  • • IT proficiency: Strong computer skills are crucial, especially in Microsoft Office Suite (Word, Excel, Teams etc.).
  • o Typing experience and skills
Desirable criteria
  • • Knowledge of RiO patient record systems.
