Job overview
We are seeking two self-motivated, forward-thinking Band 3 Administrators to join our Forensic Service at the Trevor Gibbens Unit both full time and part time (30 hours).
This role supports people using our services by providing essential administrative assistance to the Consultant Forensic Psychiatrist and Multidisciplinary Team.
Your standard hours are Monday to Friday 09:00-17:00 however a vital part of this role is providing flexible emergency cover for our Reception team. This includes being available for early starts and late finishes, weekends and Bank Holidays during staff absences. This part of the role is not regular however the candidate will need to be able to commit to the hours in the event of an emergency.
You will work closely with internal colleagues and external stakeholders to ensure care is safe and efficient. By maintaining robust working systems and providing flexible reception cover, you will directly contribute to service improvements and help us deliver high-quality patient care every day.
Main duties of the job
- Provide high-level administration support to the Consulta Forensic Psychiatrist and MDT using audio/digital dictation (BigHand) to produce volume correspondence and legal reports
- Manage complex clinical diaries to coordinate MDT meetings of all sizes, including Case Conferences, Tribunals and Section Reviews
- Efficient diary management and understanding of constraints and time pressures
- Deliver professional minute-taking services ensuring accurate action notes are typed and distributed within one week
- Maintain patient records and upload documentation on electronic systems (Rio) ensuring strict adherence to GDPR and Information Governance
- Liaise with internal and external stakeholders including answering calls and enquiries from patients or carers
- Respond to urgent requests from MDT and external stakeholders
- May organisation interpreters as requested
- Provide support to Administration Team during overflow of workload or cover during absences
- Prioritise workload, interpret urgent nature of calls and tasks
- Provide essential flexible cover for Reception at short notice to account for staff absences, including early starts (07:15), late finishes (20:15), weekends and Bank Holidays

- Educated to NVQ Level 3 or equivalent, relevant experience
- Previous administrative experience
- Occasional indirect exposure to distressing or emotional circumstances
- Strong IT skills (Microsoft Office)

Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
