Job overview

The post holder(s) will provide a comprehensive administration and information service in supporting the Lymphoedema, Lower Limb and Tissue Viability service and Admin.  They will ensure that an efficient and confidential service is provided.  The post holder will be based at  Acorn Centre, but must be flexible in being able to cover across the  Pennine sites and as part of the role, could also be required to provide cover for planned and unplanned leave and therefore flexibility to cover at other sites is a prerequisite.   They will be required to provide admin support as directed by their administration line manager, to ensure continuity of a quality service provision. The post holder will have a good standard of education with qualifications in English and  Maths and excellent computer skills are required. The post holder will be required to work both as part of a team and on their own initiative.   

 

Main duties of the job

Answer telephones, taking and forwarding messages, ensuring that all telephone  callers receive a prompt, courteous, non-judgmental and well-informed response.  Respond to queries, dealing with routine matters and passing more complex queries to the appropriate member of staff.  Provide an administrative service to include correspondence on behalf of the manager and other members of the team, ensuring a high standard in accordance with Trust standards.  Assist the running of an efficient system, dealing with routine referrals and distributing to appropriate clinical team.

Detailed job description and main responsibilities

Answer telephones, taking and forwarding messages, ensuring that all telephone  callers receive a prompt, courteous, non-judgmental and well-informed response.  Respond to queries, dealing with routine matters and passing more complex queries to the appropriate member of staff.  Provide an administrative service to include correspondence on behalf of the manager and other members of the team, ensuring a high standard in accordance with Trust standards.  Assist the running of an efficient system, dealing with routine referrals and distributing to appropriate clinical team.  Monitor and maintain stock supplies for the team.  Responsible for operating in line with Trust policy and departmental procedure in respect of tracking and retrieval of health records. Be an advocate for services, responding accurately and appropriately to enquiries and requests for information in relation to service provision.

Essential

Essential criteria
  • GCSE’s Grade 4-9 including Mathematics and English Language or equivalent.
  • Proficient in the use of Microsoft Office including, Word, Excel, Outlook.
Desirable criteria
  • Previous experience of EMIS
  • Experience in a similar role with knowledge of referral to booking/patient related administration systems and processes.
