Neurorehabilitation OnLine (NROL) is an innovative online program providing virtual stroke and neurorehabilitation group therapy The NROL team includes Occupational/Physio/Speech and Language Therapists, Psychologists, Assistants, researchers at Lancaster University, technology support and admin. NROL is hosted by East Lancashire Hospitals NHS Trust but is a collaboration across providers in the Lancs and Sth Cumbria ICB.   New funding is enabling an extension to the NROL programme, evaluating this innovative model of service redesign.

We have an exciting opportunity to recruit a part time Clinical Team Administrator to join our NROL team for fixed term contract until the end of  February 2026 as we expand the model.

We are seeking to appoint a highly motivated and enthusiastic candidate who can be flexible and has good communication skills as they will be liaising with the team, patients and their carers.

The post holder will provide efficient and effective administrative support to the NROL team in ELHT & across Lancashire & South Cumbria ICB provider collaborative Trusts, actively managing the administrative processes associated with providing all NROL patient administrative functions, including referral to booking pathways, utilising patient administrative system i.e. EMIS, ensuring adherence to standard processes, other digital platforms and delivery of quality and performance KPIs. Also contacting patients as required and supporting with any technology issues in the absence of other NROL colleagues

The post holder will be able to work on their own initiative, prioritise workload and meet deadlines, collate data and maintain standards relating to administrative processes. They will be required to work as an effective member of the team.

 The NROL team have been delivering virtual group therapy since 2021, establishing a community of practice in neurorehabilitation, with NROL embedded as part of service delivery. Further funding is enabling the project to develop and expand across Lancs & Sth Cumbria. MAIN DUTIES 

Responsible for providing a business administration service to the NROL Service

Ensure all patients are allocated appointments within specified timescale as directed from triage and as outlined in the Therapies Patient Administrative Standard Operating Procedure and Therapies Access Policy.

Monitor, update and maintain waiting lists, updating individual patient details and referral details as required/appropriate.

Manage and action centralised email accounts in a timely manner.  

Production of regular correspondence/documents to meet specified deadlines, some of which will be of a highly sensitive nature reports and other documents as directed by department Managers/Clinical Leads/Clinicians etc., on a daily basis with packages which include Microsoft Office, Word, Excel, Access, Outlook, PowerPoint. 

Responsible for scanning archiving of both paper and electronic records. 

Ability to work without supervision and plan and prioritise own workload to meet the demands of the Service. 

Ability to cope with a demanding role, where the work pattern is both predictable and unpredictable with frequent interruptions during the course of the day. Prioritise workload with consideration to issues arising and responding to shifting priorities.

 To organise meetings, including generating relevant correspondence i.e. agendas, meeting/action notes, booking and organising venues and refreshments. 

Responsible for updating/maintaining the Trust attendance system Eroster, ensuring accurate information is recorded timely and in line with Trust policies and procedures

Assist with administration relating to recruitment and selection when required. 

Assist clinical staff providing training sessions i.e. room booking, invites, documentations, feedback forms etc.

Update and maintain various systems e.g. SharePoint timely and accurately. 

Provide general duties e.g. filing, scanning and photocopying. 

Create/maintain structures and distribution lists to ensure robust communication.

Input accurate and up to date data onto Directorate and Trust systems

Support induction of new staff members of the team i.e. induction pack preparation, assisting with requests for access to Trust systems e.g. EMIS.

Support clinical teams in undertaking surveys, audits, service improvement projects as required to support delivery of high quality patient services

Support the production of confidential correspondence and reports, accessing and extracting information as required. 

Assist with request for patients notes ensuing information provided in a timely manner, as per Trust Policy. 

Supporting patients over the phone as required.

  • GCSE Grade 4 or equivalent in English Language.
  • Experience in a similar role with a knowledge of administrative systems and processes.
  • ECDL/CLAIT/RSA or equivalent experience

Knowledge

  • Knowledge and understanding of confidentiality.
  • Experience of Office 365/MS Teams.
