Job overview
To provide clerical and administrative support to the Booking Team within Community & Neurodisability Paediatrics. The role requires competency in general admin, keyboard skills, good communication and an ability to work well within a team. An ability to understand the need for and to maintain confidentiality is essential.
Main duties of the job
• To always ensure a high standard of data quality, in particular ensuring that patient demographic details are accurate and up to date within our clinical system (EMIS).
• Transferring and booking in patient records using patient tracers.
• Open and prioritise correspondence (which is often highly sensitive and of a confidential nature) on behalf of the autism team/secretaries/consultants ensuring that urgent correspondence receives prompt attention.
• Distribution of relevant correspondence/questionnaires to other health professionals within the Trust, Educational Establishments and Outside Agencies.
· Manage incoming referrals for triage, adding to our clinical system for triage by the clinicians.
· Sending Accept/Reject letters to referrers and families from within our EMIS system.
· Taking telephone queries from parents/carers and health professionals.
• Booking of appointments and assessments for children and young people on the Community Neurodisability Pathway.
• Use of photocopier, fax and e-mail when necessary.
• Attend appropriate training, meetings and education sessions when required
• Work with managers to review working practices, ways of working and find solutions to problems
• Work with managers to improve quality and range of services, with resources being managed according to agreed policies and procedures

Essential criteria
- GCSE English and Maths at Grade ‘C’ or above or equivalent
- Previous Administrative Experience
- Proven ability to manage priorities under pressure
- Proven ability to produce neat and accurate work
- Knowledge of I.T systems - Word, excel, emails.
