Main duties of the job

You will work alongside other experienced, friendly admin support workers within the Specialist Nursing Services. 💻📞
Your main roles will include:
📅 Booking appointments
🖥️ Registering patients on the computer system
📊 Managing databases and filing systems
📞 Answering phone queries
📋 Providing administrative support to the Specialist Nurses and other team members
Order consumables for patients and manage the smooth operation of this.

Respond to Enquiries
- Handle external and internal telephone enquiries from staff, patients, and others with efficiency, tact, and diplomacy.
- Ensure that messages and information are quickly relayed to the appropriate person.
💬 Effective Communication
- Communicate with a wide range of staff, patients, and visitors using verbal, electronic, and other methods, ensuring information is tailored appropriately to the individual’s needs.
💻 Database Management
- Use databases and computer systems to create and maintain records, ensuring they are accurate and updated.
- Generate statistics for analytical purposes where needed.
- Order consumables for patients and managing the smooth operation of this.
📬 Mail Sorting
- Collect and sort incoming mail, ensuring it reaches the relevant Specialist Nurses or healthcare professionals for action
🖇️ Administrative Support
Ensure accurate filing of patient investigations and correspondence, making them available on Evolve. - Provide secretarial and administrative assistance to the Children's Community and Specialist Nursing Team, ensuring smooth operation and effective service delivery.

Qualifications and Experience
Essential criteria
- Good general education. Minimum GCSE in English and Maths grade A-C.
- RSA Type 2 or equivalent
Desirable criteria
- RSA 3 Typing Qualification
- ECDL or equivalent experience
Knowledge & Experience
Essential criteria
- Efficient use of Microsoft 365 i.e Word, Excel, Power point, email and intranet.
- Recent audio typing experience
- Experienced and competent minute taking
- Demonstrate a commitment to continuing personal and professional development
Desirable criteria
- Knowledge of medical terminology.
- Use of Trust IT packages ie. Harris Flex, Alma, Evolve.
- Previous admin experience in NHS environment
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
