Job overview

Working in the GM Individualised commissioning Hub the postholder will support quality assurance, Quality Improvement and transformation programmes across the service.

The role and functions within the team are diverse. Predominantly responsible for enactment of the NHS Continuing Health care Framework and NHS funding of Individual packages of care.

The post holder will work as part of a team in delivering an efficient and effective Business Support service.

 

In particular, the post holder will provide efficient and effective administrative support to the senior members of the team.

Main duties of the job

·         Develop and maintain effective electronic systems ensuring information is secure and accessible to other team members.

·         Support team members in the collection of information for performance reporting on relevant team activities.

·         Run and collate reports, both qualitative and quantitative, including supporting with reports to the Board and senior management as required.

·         Create databases and spreadsheets. Input, monitor and check data produced and required for on-going and finite activities.

·         Flexible approach to work in line with the needs of the business.

This new NHS organisation, overseen by a Board, is in charge of the NHS money and making sure services are in place to put plans into action and Made up of representatives from the NHS and the local council.

The partnership operates at three levels: neighbourhood, locality and Greater Manchester and has a single vision and strategy. Hospitals, GPs,
community services, voluntary services and others have come together to form ‘provider collaboratives’ within all 3 levels, helping to join care and help people live well across our ten boroughs.

Detailed job description and main responsibilities

·         Ensure that any complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate.

·         Prepare agendas, take minutes, track and follow up on actions and distribute of notes of meetings.

·         Act as a point of contact for teams, dealing and responding effectively with complex queries from a wide range of stakeholders. Use judgement to pass on relevant information to appropriate team members sensitively and autonomously.

·         Run and collate reports, both qualitative and quantitative, including supporting with reports to the Board and senior management as required.

·         Create databases and spreadsheets. Input, monitor and check data produced and required for on-going and finite activities.

·         Organising and planning events as directed, providing all necessary supporting in local materials.

·         Plan and co-ordinate appointments, including rearranging and prioritising as appropriate.

·         Provide support to senior team meetings including organising meetings, booking rooms, and ensuring papers are ready and distributed for meetings

·         Undertake the organisation and planning of events as directed.

Person specification

Qualifications

Essential criteria
  • Educated to degree level or equivalent level of experience of working at a similar level in specialist area.
  • Evidence of post qualifying and continuing professional development.
  • Advanced keyboard skills
Desirable criteria
  • Experience of Project Management or similar

Knowledge

Essential criteria
  • Experience and understanding of confidentiality, GDPR, Data Protection
  • Demonstrated experience and competence in relation to a variety of management information systems, spreadsheets and databases
  • Ability to work as part of a team
  • Being flexible and adaptable at work in order to meet competing priorities in an unpredictable, fast paced environment in a calm manner
  • Able to communicate clearly and concisely with health professionals, social services, members of the public and private providers, being able to articulate sensitive, confidential and complex information
  • Able to work on own initiative, without direct supervision, using own initiative in organising and prioritising own workload to set deadlines
  • Excellent written and verbal communication skills / telephone manner
  • An ability to maintain confidentiality and trust
  • Commitment to training and continued professional development, and the training of others, sharing skills, knowledge and experience
  • Positive and flexible approach to work being responsive to the needs of the service and others
  • Knowledge of administrative procedures, including specialised IT systems
Desirable criteria
