An opportunity  for secondment has arisen for a Data clerk/assistant to support  Critical Care Outreach and the Vascular Access Service.

This vacancy is advertised on a fixed term basis as It has been established to provide cover for an employee on secondment and will end in 8 months or when the substantive postholder returns. Whilst this post is advertised on an acting / secondment basis there is the potential that this post may become permanent in the future.

Main duties of the job

The successful application will input data around activity for both service using excel, pull out analysis from the data for interpretation by the manager and the teams. They will be responsible for uploading the codes to PAS for the clinics, writing letter, arranging clinics and meetings, taking minutes and supporting the Lead in diary management and with admin and office duties including answering queries from the public re various clinics etc.

Qualifications

Essential criteria
  • Good general education to GSCE standard or equivalent which includes English language
  • An appropriate qualification in word processing
  • Experience of PA work
  • Computer literate and good knowledge of Microsoft packages, in particularly Excel and PowerPoint
  • ECDL
Desirable criteria
  • Good understanding of medical terminology

Experience

Essential criteria
  • The post holder must have experience of inputting data and obtaining reports from the software
  • Experience working in an administrative role
  • Experience of working in a busy office environment
  • Previous experience dealing with the public both face to face and over the telephone
  • Experience of taking minutes and organising meetings
  • Experience of working with sensitive/confidential information
  • Experience of using the hospital PAS, EPR, HIS and Oracle

Experience

Essential criteria
  • Ability to produce spread sheets and be able to represent these in graphical forms
  • Strong communication and interpersonal skills
  • Ability to deal with the public in a sympathetic manner, remaining calm and professional in the face of displays of anger/distress
  • Ability to organise work and to work unsupervised, adapting to changing priorities
  • Ability to work under pressure and to react rapidly to changing requirements
  • Ability to draft letters and emails without supervision
  • PA skills – diary management, supporting the manager and her deputies with analytical work

Knowledge

Essential criteria
  • Working knowledge of computers and databases
  • Must demonstrate a knowledge of CCOT and VAS service delivery

  • Speak English to an appropriate standard relevant to their role, i.e. with confidence and accuracy, using correct sentence structures and vocabulary, and without hesitation
