Job overview
TrustMed Pharmacy is seeking a motivated and organised Pharmacy Administrator to join our friendly team, providing high-quality pharmacy services across our hospital dispensaries. In this varied and customer-focused role, you will support the smooth day-to-day running of the pharmacy by managing prescription enquiries, assisting patients and healthcare professionals, completing essential administrative tasks, and helping maintain stock levels.
You will be the first point of contact for many patients, delivering exceptional customer service while ensuring accurate record keeping and effective communication. Working closely with the wider pharmacy team, you will contribute to a safe, efficient, and patient-centred service, while supporting continuous improvement and upholding the highest standards of professionalism.
This role is ideal for someone with excellent communication and organisational skills, who enjoys working in a fast-paced environment and is committed to providing outstanding care. Also with good IT skills.
Main duties of the job
- Provide excellent customer service to patients, staff, and healthcare professionals.
- Receive and process prescription requests accurately and efficiently.
- Arrange prescription collections and deliveries.
- Complete administrative tasks, including data entry, filing, and record keeping.
- Assist with stock management, including stock counts, deliveries, and ordering consumables.
- Communicate effectively with the pharmacy team to resolve queries and support service delivery.
- Maintain accurate records and comply with confidentiality and information governance requirements.
- Support the training of apprentices and new team members.
- Take responsibility for own learning and mandatory training.
- Comply with health and safety, infection control, safeguarding, and pharmacy policies.
- Undertake other duties as required to support the pharmacy service.

Detailed job description and main responsibilities
Provide a high standard of customer service to patients, colleagues, and healthcare professionals, ensuring all interactions are professional, friendly, and efficient. Process prescription requests accurately and coordinate prescription collections and deliveries to support the safe and timely supply of medicines.
Undertake a range of administrative duties, including data entry, filing, and maintaining accurate records. Support stock management activities by carrying out stock checks, booking in deliveries, and ordering pharmacy consumables to help ensure the smooth running of the pharmacy.
Work collaboratively with the wider pharmacy team to resolve queries and maintain an efficient, patient-focused service. Maintain confidentiality and comply with information governance requirements, while adhering to all health and safety, infection prevention, safeguarding, and pharmacy policies.
Support the induction and training of apprentices and new team members where required. Take responsibility for completing mandatory training and ongoing professional development, and undertake any additional duties necessary to support the effective operation of the pharmacy service.

Education and Qualifications
Essential criteria
- GCSE Grade C or above, or equivalent in Maths and English
Desirable criteria
- Medicines Counter Assistants certificate with a recognised body
Experience
Essential criteria
- Experience of customer service on the phone demonstrating: Excellent communication skills; Empathy and care; Professional behaviour; Ability to handle complex enquiries, distressed or angry customers; Excellent listening skills; Excellent telephone manner.
- Working in a NHS environment.
Desirable criteria
- Knowledge and skills on the NHS complaints process
- Previous experience of working in a pharmacy/retail environment
