Job overview

United Lincolnshire Teaching Hospitals NHS Trust is looking for an organised and proactive Occupational Health Administrator to provide high-quality administrative support to our Occupational Health Service. This is an excellent opportunity to join a professional team to support the health of staff across our hospitals and partner organisations.

The Corporate HR department’s Occupational Health Service which recently achieved SEQOHS accreditation, comprises a multidisciplinary team of Occupational Health Consultants, Specialist Nurse Practitioners, clinic nurses, technicians, counsellors, specialist physiotherapist and a team of administrators. The service supports our host trust, the wider NHS community in Lincolnshire, as well as a growing number of external clients.

As a Band 3 Administrator within Occupational Health, you will play a key role in ensuring the smooth day-to-day running of the service. You will support the team with appointment booking, data entry, record management, telephone and email enquiries, and general office administration, helping to provide an efficient and responsive service to staff and external clients. This role is site based at our Grantham Occupational health department, although the ability to travel to other sites for meetings/training and to support occasional external clinical activities will be required.

Main duties of the job

·       Main duties and responsibilities include

  •  Provide comprehensive administrative support to the Occupational Health team across a busy multi-site service.
  •          Manage appointment systems, clinic schedules, and diary coordination.
  •         Answer telephone and email enquiries professionally and sensitively, escalating issues where appropriate.
  •          Maintain accurate electronic and paper records in line with confidentiality and data protection requirements.
  •         Input and update information on relevant systems in a timely and accurate manner.
  •          Prepare standard letters, reports, and other routine correspondence.·        
  • Coordinate and manage health surveillance and immunisation clinics, including the referral and booking of appointments, and support pre-employment screening administration.        
  • Liaise with staff, managers, and external organisations to facilitate effective communication and service delivery.   
  • Undertake general office duties including filing, scanning, photocopying, and ordering supplies.

About You

You will be an experienced administrator with excellent organisational skills, a keen eye for detail, and the ability to manage a varied workload. You will be confident using Microsoft Office and other electronic systems, and you will understand the importance of handling sensitive information with discretion. Experience of working in the NHS, healthcare, or an Occupational Health environment would be an advantage, but is not essential.

Grantham and District Hospital serves the communities of Grantham and the local area. It provides ambulatory paediatric and accident and emergency services.

 

Lincolnshire Community Health Services NHS Trust (LCHS) and United Lincolnshire Hospitals NHS Trust (ULHT) have come together in a Group arrangement, with the goal of improving the care provided to patients across the county.

 

This will not constitute a formal merger of the two organisations, but will bring the Trusts together under a single Board and Executive Leadership Team, with the goal of improving the care that is provided to patients both in the community and in hospitals across Lincolnshire. Both Trusts will retain their separate statutory names and legal obligations.

 

The Group will be known as Lincolnshire Community and Hospitals NHS Group (LCHG).

Qualifications

Essential criteria
  • Experience and training to Vocational Level 3 or equivalent.
  • GCSE Maths and English or equivalent
  • Relevant experience working within NHS Environment
Desirable criteria
  • ECDL computing qualification or equivalent.
  • Knowledge of OH administrative procedures and practices
  • RSA Level 2 typing skills or equivalent

Skills / Competencies

Essential criteria
  • Administration and office experience
  • Experience of undertaking a range of administrative duties to include: Diary Management Typing Correspondence Answering Telephone Queries
  • Establishing new systems and office procedures (manual and electronic)
  • Familiar with NHS ESR system.
  • Standard keyboard skills
Desirable criteria
  • Medical Secretarial experience or recent OH experience.
  • Experience of working with spreadsheets and databases.
