Job overview

We are looking to recruit an enthusiastic, organised, self-motivated individual with excellent interpersonal and communication skills to fulfil this Administration Assistant role supporting the Team on Brant Ward, which is an 18 bedded inpatient mental health ward for older adults, 65 and over.

You must have a good level of education (NVQ 2 Diploma in Business & Administration or equivalent), with a good level of competency in Microsoft Office 365 package. A working knowledge of RIO is an advantage, but training will be offered.  Be able to demonstrate the use of initiative and to prioritise workload and work well as part of a team, having a positive, enthusiastic “can do” attitude with a strong work ethic is important.

The role will include providing administrative support such as typing of letters, processing referrals coming into the service, inputting and checking data, answering emails, scanning, photocopying, minuting and production of minutes and any other admin duties.

We need someone who is flexible to work 22.5 hrs hours per week over at least 4 days, Monday to Friday and is office based to support the service needs and demands. In return we will support you in developing skills and opportunities to progress your career with a structured learning journey.

Main duties of the job

The post holder will be expected to:

•  To gather appropriate information from a variety of sources to input accurately onto a database.

•  Communicate sensitively with anyone coming into the department maintaining strict standards of confidentiality.

•  General administration duties including answering phone, taking messages, dealing with enquiries, mail, photocopying, and assisting with the effective dissemination of information as appropriate.

•   Responsible for making room bookings and maintaining room booking diary.

•   Assist in scheduling of appointments and diary management as appropriate using Microsoft calendar.

•   Assist in the stock control and electronic ordering of all office equipment and stationery; and the subsequent electronic receipting of all received supplies.

•   Assist in the proper functioning, maintenance and fault reporting of central equipment used by the Team, e.g. photocopiers, fax machines, printers, computers etc.

•   Record all data using the appropriate information system or manually where this is required including data entry, word processing, scanning of documents for e-noting and storage.

•   You will also be required at times to liaise with GP's and carers over the phone or via digital means, using Microsoft teams.

•  There is an expectation for the Administrators to provide cover for one another during leave and/or periods of sickness.

  • Relevant experience of working in a general administrative background, preferably within an NHS setting;

Qualifications

Essential criteria
  • GCSE in English, grades A-C or 9-4 or level 2 Literacy or equivalent;
  • ECDL or equivalent including basic knowledge of all MS Office packages – including Microsoft Office calendar for diary management
  • NVQ level 2 Business and Administration or equivalent
  • I typing/word processing or equivalent
