Job overview

The post holder will act as a courteous, professional, and welcoming point of contact for patients and visitors, ensuring that reception services are consistently maintained and adequately staffed. They will proactively monitor patient flow and waiting times, escalating any concerns in a timely manner to support service efficiency and enhance the patient experience.

Main duties of the job

The post holder will respond to informal queries and concerns with sensitivity and professionalism, seeking appropriate resolution where possible. They will maintain strict adherence to patient confidentiality and data protection standards at all times, ensuring that all information is handled securely and in line with organisational policies.

The post holder will also be responsible for producing ad hoc data reports, preparing information leaflets and correspondence as required, and ensuring that any adverse incidents or complaints are appropriately identified, recorded, and escalated in accordance with Trust procedures.

Detailed job description and main responsibilities

The post holder will provide a professional, approachable, and courteous first point of contact for patients and visitors, ensuring reception services are consistently delivered and appropriately covered. They will oversee patient flow within the department, monitoring waiting times and escalating any concerns promptly to support effective service delivery and a positive patient experience.

The role will involve handling informal queries and concerns with discretion and professionalism, aiming to resolve issues at the earliest opportunity. The post holder will be expected to uphold the highest standards of patient confidentiality and data protection, ensuring all information is managed securely and in accordance with organisational policies.

In addition, the post holder will produce ad hoc data reports, develop patient information materials and correspondence as required, and ensure that any incidents or complaints are accurately recorded and escalated in line with Trust procedures.

Education & Experience

Essential criteria
  • Educated to GCSE level or equivalent, including Grade C or higher in English.
  • Demonstrable level of administrative experience at a high level of competence acquired through both training and experience.
