Job overview

An exciting opportunity has arisen to join the Imaging Department as a Radiology Data Administrator. We are seeking an enthusiastic and highly motivated individual to support the Radiology IT team by ensuring effective patient data management, smooth patient flow, timely reporting, and accurate sharing of image and reports with referrers and other healthcare providers.

The post holder will work closely within the PACS team, supporting efficient patient pathway tracking, radiology alerts management, imaging outsourcing, and data-sharing tasks. They will also be responsible for transferring medical images to and from external trusts and organisations, maintaining accurate audit trails, and ensuring compliance with Information Governance policies.

Additionally, the role involves regular data cleansing to maintain high-quality radiology data standards. The post holder will play a key role in supporting the imaging outsourcing service, ensuring that referral information, image transfers, and report turnaround times meet agreed standards.

Full training and on-going support will be provided by the Radiology IT team.

Main duties of the job

Perform data cleansing on Soliton RIS, removing outdated or duplicate requests to maintain optimal data quality.

Transfer patient image and data in and out of the Trust’s radiology systems to other healthcare providers using secure methods, in line with Trust policies and Information Governance guidelines.

Transfer patient image and data to patients, solicitors, coroners and third private healthcare providers in line with Subject Access Request and Information Governance guidelines.

Create and manage CDs/DVDs containing patient images for external institutions and liaise with other imaging departments where necessary.

Maintain accurate logs of all image transfer requests to ensure auditability and avoid duplication.

Manage radiology alerts, including notifying referrers of cancelled or delayed examinations.

Forward urgent radiology reports, alerts and critical findings to GPs and referring clinicians.

Support the monitoring of report turnaround times, appointment data, DNA reports, incomplete examinations, unauthorised reports, and other workflow-related issues.

Produce weekly and monthly activity reports for the Radiology Management Team, other departments, and the SWL Imaging Group.Alert modality leads or managers of potential complaints, delays, or issues that may compromise patient care.

Support the tracking and management of outsourced imaging, ensuring timely access to images.

Qualifications

Essential criteria
  • Extensive use of MS office in the workplace
  • Knowledge of administrative procedures
  • Sound knowledge and experienced in the use of Microsoft packages include word and excel
  • Ability to plan own workload and prioritise work on a daily basis, in ever changing situations
Desirable criteria
  • NVQ level 3 in IT subject or equivalent qualifications
  • Qualification in information systems / Microsoft software packages

Skills

Essential criteria
  • Data analysis experience using standard Microsoft tool
  • Knowledge of RIS and PACS technology and its applications in an imaging department
  • Aware of service level management and familiar with service delivery economics
  • Understanding of the principles of audit and of providing data for audit
Desirable criteria
  • Working knowledge of RIS, PACS & IEP
  • Good background in the concepts and practices required to implement effective Imaging IT solutions
  • Ability to teach and mentor junior staff and new members of staff
  • Experience of trouble shooting and resolving IT systems queries within agreed boundaries

Experience

Essential criteria
  • Experience of using IT systems in a healthcare setting.
  • Understanding of factors affecting service throughput and quality
  • Knowledge of clinical processes within an Acute Trust setting
  • Experience of problem management and transformational change
Desirable criteria
  • Knowledge of working practices within Radiology Departments
  • Previous administration experience with RIS and PACS
  • Experience of a Radiology admin support role within the NHS environment
  • Substantial customer liaison experience.
  • Experience of successfully dealing with conflicting priorities.
