Our hospitals and community sites provide a wide range of inpatient and outpatient services, as well as emergency and planned care. The Trust is rated as “good” or “outstanding” in over three-quarters of the services inspected by the Care Quality Commission.

Every year our work includes performing 10,000 procedures in our theatres; bringing seven and a half thousand new lives into the world; carrying out 570,000 visits to patients in their homes or communities and providing emergency care for more than 300,000 patients arriving in our busy Urgent and Emergency Departments.

Are you an experienced, organised, compassionate and proactive Medical Secretary looking to make a real difference to children and families? Join our friendly Community Child Health team at Kaleidoscope, where you will work as part of a small team of medical secretaries  providing vital support to Consultants, Specialty Doctors and multidisciplinary teams delivering care to children and young people across Lewisham. In this rewarding role, you will manage correspondence, referrals, patient administration, and diary management, helping ensure children and families receive a high-quality service. You will be a key point of contact for families, clinicians, GPs and partner organisations.

Main duties of the job

The Medical Secretary provides comprehensive secretarial and administrative support to consultants, speciality doctors and clinical teams within Community Paediatrics. The post holder is responsible for managing correspondence, diary co-ordination, patient administration, referrals and medico-legal documents, ensuring services are delivered efficiently, professionally and within agreed timescales. The role acts as a key point of contact for families, clinicians, GPs and partner organisations, maintaining high standards of confidentiality, customer service and administrative quality.

Detailed job description and main responsibilities

  • Provide a high- quality secretarial service to consultants, specialty doctors, and clinical teams, ensuring workloads are prioritised and completed within agreed timescales.
  • Act as the first point of contact for Consultants and the team, responding professionally to enquiries from GPs, families, staff and external agencies
  • To maintain confidentiality at all times.
  • Produce accurate clinical and non- clinical correspondence, reports and urgent letters using audio transcription and digital systems
  • Manage incoming correspondence, referrals and investigation reports, ensuring timely action and escalation where required.
  • Maintain effective working relationships with clinicians, managers, administrative colleagues and wider multidisciplinary teams

Person specification

Qualifications and Training

Essential criteria
  • Good standard of education to at least GCSE standard including Maths and English
  • RSA stage 3/OCR Text processing level 3 or equivalent
Desirable criteria
  • NVQ level 4 in administration
  • EDCL or equivalent

Experience

Essential criteria
  • Secretarial and/or administrative experience
  • Experience of dealing with the public
  • Experience of handling sensitive and confidential information
  • Fast and accurate typing/keyboard skills
Desirable criteria
  • Experience of working in the NHS
  • Experience of using digital dictation systems

Knowledge and Skills

Essential criteria
  • Able to use a PC for word processing to a high standard
  • Knowledge of Microsoft Office 365 applications
  • Able to use databases, spreadsheets, and other software packages to a high standard, to include Excel, Word, PowerPoint,
  • Knowledge of office organisation and procedures, including how to set up and maintain office systems
  • Understanding of the importance of confidentiality
  • Ability to prioritise and manage time-sensitive workloads within defined targets
