The Electronic Patient Record (EPR) Acceleration Programme is our exciting and challenging programme aimed at transforming the way we deliver health and care in a way that is both clinically and financially sustainable. The EPR Training Coordinator will be a key member of our programme training team, coordinating the training activities and ensuring the training progress, compliance, milestones, risks, etc. are communicated effectively across the programme.
Main duties of the job
The EPR Training Coordinators will provide high quality administrative, project and co-ordination support for the EPR Programme Training.
The post holder will have responsibility for setting up training tracks, tracking the learning progress, and reporting on training compliance from LMS. The post holder will ensure effective training organisation and support efficient in-person and virtual training delivery using their initiative and administrative, event management, and organisational skills. They will bring their excellent communication skills to support engagement with our stakeholders.

Detailed job description and main responsibilities
The post holder will:
· Coordinate training-related meetings, distribute agendas, maintain action logs and provide administrative support to the Training Team as required
· Develop and maintain effective working relationships with operational managers, service leads and programme teams to support training planning and delivery
· Communicate training requirements, deadlines and compliance information clearly to staff and managers across the Trust
· Support data collection, data validation and performance reporting relating to organisational training readiness
· Ensure training activities are coordinated effectively and delivered in line with programme timelines and deadlines
· Assist the development, maintain and regularly review the Trust training catalogue and associated training communications
· Coordinate the scheduling, booking and administration of classroom and virtual training sessions
· Send out end user training details for the Trust’s EPR (Electronic Patient Record) through the LMS (Learning Management System)
· Maintain accurate records of planned training events, attendee lists, cancellations and non-attendance
· Ensure course information, venues, joining instructions and training materials remain accurate within the LMS
· Prepare training rooms and associated equipment to support classroom-based training activities
· Provide on-the-day administrative support for classroom events including registration, attendance monitoring and issue resolution
· Produce routine and ad-hoc reports on training attendance, compliance, booking activity and learner progress for managers and programme leads
· Act as first point of contact for training-related enquiries received via the shared mailbox, LMS and service management system
· Ensure all learner and manager queries are resolved within agreed service standards or escalated appropriately
· Monitor staff members’ eLearning progress
· Check end users’ EPR Training compliance using the LMS
· Provide support to end users on how to complete their EPR training
· Update and manage the emails and training guides that are sent out to staff prior to them completing their training
· Undertake specific system administration activities to ensure the smooth running of the EPR
· Assist with the uploading of SCORM packages to the LMS
· Receive, prioritise, and resolve IT Service issues using the IT Service Desk system (Halo), ensuring logs are closed within specific timeframes or escalating to another division of the IT Department as appropriate.
· Support the EPR Programme Training Manager by applying knowledge and logic to troubleshoot problems, ensuring the relevant personnel are involved or consulted for advice to resolve problems thoroughly and quickly
· Ensure good communication and working relationships with the relevant personnel to keep them informed of progress or outstanding problems
· Assist with the testing of any new software releases and upgrades to the LMS and highlight problems which need to be escalated to systems suppliers
· Liaise with the relevant Service Managers and Departments such as User Access & Security, Medical Education, Medical Staffing and Temporary Staffing etc. with planning staff training
· Attend staff inductions when required
· Identify and escalate issues with the LMS software highlighted by Trust staff
· Provide feedback on eLearning/training material uploaded to the LMS
· Support end users over the phone and in person
· Work without supervision and prioritise queries, incorporating departmental policies and procedures

Essential criteria
- Degree or equivalent experience
- Microsoft Office 365 certification
Desirable criteria
- Certification in an EPR system or equivalent experience in using an EPR system
Experience

- Experience working in an acute NHS setting
- Significant experience of working with Learning Management Systems
- Assisting Trainers when delivering training programmes to groups or individuals
