Our hospitals and community sites provide a wide range of inpatient and outpatient services, as well as emergency and planned care. The Trust is rated as “good” or “outstanding” in over three-quarters of the services inspected by the Care Quality Commission.

The post holder will be a member of the Health Visiting  centralised administration team 

Main duties of the job

 The post holder will be a member of the Health Visiting centralised administration team managed by the senior admin manager.  You will undertake duties as delegated by the administration manager and assist with the clerical admin and some clinical support, and other proactive areas of health visiting work to promote the health and wellbeing of the local population as appropriate. You will be based in a centralised admin hub and will, on occasions,  assist at clinic sessions e.g. initial set up and closure of child health clinics, weighing and measuring babies and children and the administration required during the clinic such as record measurements accurately in the Personal Child Health Record and clinic book and inputting to the IT system RIO.

The post holder will be required to input data as part of the overall child health information process ensuring new birth and antenatal allocation to the correct HV team.

The applicant will need to be able to demonstrate good communication and interpersonal skills. Good IT skills are essential to the role as data inputting and administrative tasks form a large component of this role.

An induction program will be provided for successful candidates to support their transition to working within health visiting teams in Lewisham.

Detailed job description and main responsibilities

Answer telephone, send and receive messages accurately and pass on information to a member of the health visiting team.

Book development assessments for parents as part of the centralised booking process.

Monitor the online enquiry e-mail and direct queries to the named HV on call.

Assist in maintaining client records, recording and transcribing information as appropriate.

Input health data accurately onto General Practice and other Trust computer systems when required.

Manage the process of record transfer for the health visiting team.

Make appointments for clients via the telephone or letter or e-mail.

Carry out general filing and administrative duties including the ordering and monitoring of stock commensurate with the post.

Assist in the referral process of children to other professionals or agencies, e.g. Audiology, vision and playgroups, nursery or other pre-school settings.

Prepare and organise own workload as delegated by the health visiting team.

Liaise with health visiting team members to organise appointments for the child health promotion/surveillance programme as per Trust standards

To be aware of Trust Policies and Procedures

Assist health visitors as appropriate with statistical and activity collection as required by the Trust e.g. monthly/quarterly statistics and workforce returns.

To assist the Health Visiting team with clinical audit/benchmarking

Maintain accurate and timely personal activity data in line with Trust’s requirements.

To attend staff meetings and updates.

o participate in clinical supervision in accordance with the Trust policy

Take responsibility of care and cleaning of equipment

Assist at clinic sessions eg initial set up and closure of child health clinics, weighing and measuring babies and children and other duties appropriate to the grade as delegated by a member of the health visiting team. Record measurements accurately in the Personal Child Health Record and clinic book.

Organise the use of interpreters for home visiting and clinic appointments where necessary.

Give appropriate feedback to the Health Visiting team following client contact.

Qualifications and Training

Essential criteria
  • Good command of written and spoken English with basic numeracy.
  • GCSEs or equivalent.
Desirable criteria
  • Relevant NVQ Level 2 or 3 in Health Care.

Experience

Essential criteria
  • Experience of working in the pubic sector.
  • Able to organise and prioritise own workload.

Knowledge

Essential criteria
  • Able to read and write legibly in English
  • Able to transcribe notes for nursing and medical staff.
  • Able to deal with telephone enquiries and refer them to appropriate people.
  • Able to work as a member of the team.

  • Good interpersonal and communication skills.
