Job overview

Thurrock Healthy Familoes 0-19 Team are pleased to offer a fixed term contract for 12 months for Senior Administrator post.    

The successful applicant will work proactively alongside Looked after Children  LAC Nurses, administrators, and CSPA coordinators. 

To work in collaboration with senior managers and colleagues across targeted Children’s Services and Universal Children’s Services.

Ensure effective channels of communication are maintained between the Children’s Nursing Teams and relevant colleagues in other organisations.

The post holder will provide support to the team by ordering supplies and  supervision of staff

Main duties of the job

  • To provide comprehensive administrative support to the Looked After Children Team to ensure the smooth running of the service, with an awareness of the need for absolute confidentiality always.
  • To respond to telephone & email communication from other professionals & organisations in a timely manner. Using own initiative to ensure that all and urgent enquiries dealt with promptly and escalated where required to team members.
  • To ensure effective and timely processing all IHA /RHA requests including escalation when required and timely follow up of any outstanding paperwork required.
  • To ensure timely provision of IHA/RHA reports & health information to Children’s Social Care.
  • To support in the recording of IHA/RHA performance activity on agreed EPR. To undertake regular reviews of performance data jointly with Local Authority Business Support to ensure accurate capturing of performance data on both ERP’s
  • To effectively use Microsoft Office packages such as Outlook, Excel, Word and databases.
  • Where appropriate, to be responsible for arranging meetings, collating agendas, referral information and taking minutes as required.

This post will be subject to a probationary period. Internal applicants are exempt from the probationary period (unless you are an internal applicant currently part way through a probationary period or currently a bank member of staff).

Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focusing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.

High Cost Area Supplement –

This post also attracts payment for High Cost Area Supplement of 5% of the basic salary (minimum payment of £1,192 and a maximum payment of £2,011 per annum pro rata).

 

Detailed job description and main responsibilities

  • To work jointly with Local Authority colleagues to ensure data accuracy to support both organisations performance reporting requirements performance data and other required information to the LAC Strategic Partnership Board.
  • To request up to date immunisation data from primary care prior to Review Health Assessments and ensure this is record on both EPR’s.
  • To update the NELFT EPR with change details where appropriate i.e. addresses, general practitioners details, etc.
  • To maintain and effective system of discharge administration & ensuring ERP caseloads are up to date.
  • To book interpreters as required and use of translation services when necessary.
  • to book appointments with clients on behalf of Looked After Children Team as requested.
  • Comprehensive use of all EPR systems & LAC reporting templates
  • To undertake a range of scoped self-contained projects on behalf of the teams
  • To be aware/ alert to issues regarding safeguarding children and respond in accordance with Trust policy

Qualifications

Essential criteria
  • NVQ level 2 or equivalent standard of literacy and numeracy
  • RSA Text and Word Processing Level 2

Experience

Essential criteria
  • Working in a busy office environment
  • Significant administrative experience
  • Creating and maintaining office systems
  • Good working knowledge of Outlook, Word, Excel, Power point, Access
  • Proven excellent RIO skills
Desirable criteria
  • Working in an NHS environment
