An exciting opportunity has arisen for a full time Rota Coordinator to join the Acute Medicine Team here at London North West University Healthcare NHS Trust Hospitals.

We are looking for a dynamic, enthusiastic and highly motivated individual to join the Acute Medicine team. This post will involve the day-to-day management of the Acute Medicine Rota ensuring the appropriate levels of staff and clinical safety is maintained at all times. This will include the production of medical rotas, processing annual/study leave requests for Acute Consultants, Specialty Doctors, Trust Doctors and Resident Doctors and booking locums to cover rota gaps. You will play a key role in the planning and execution of junior doctor changeover/induction. 

This post will require an individual with excellent planning and organisational skills and the ability to prioritise a busy work load. 

The successful candidate must have a flexible ‘can do’ attitude, able to use their initiative with excellent communication/interpersonal and IT skills. You will also be required to work closely with the Management team and Clinicians in supporting the needs of this busy and exciting department.

Post holder is responsible for assisting in designing and distributing the Acute Medicine on-call rota for the Consultants, Resident Doctors within the Acute Medicine Team at Northwick Park Hospital.

Collect and records information with all types of absence.

Organise clinical cover for annual leave / sickness with the in house Bank Temporary staffing.

Communication used includes letters, emails, telephone, handwritten and face to face communication.

Building a weekly rota and distributing out to the Acute Medical Team  and the wider integrated medicine team.

Building a weekly rota and distributing out to the Acute Medical Team  and the wider integrated medicine team.Post holder to ensure Healthroster is updated and signed off each month by the required day given by finance.  Post holder meets the new medical staff when they start to give details of the Department and the on-call rotas and ensure contact details are up to date.Post holder is the main point of contact for the resident staff with regards to leave, rota and general queries.Post holder is the point of contact for doctors who need to report their absence from work so that cover arrangements can be made as necessary.Post holder to assist the Assistant Service Manager and resident doctors in designing rotas compliant with the European working Time Directive (EWTD).Post holder works unsupervised and on own initiative, prioritising workload 

Provide clerical support to General Manager and Service Manager, which includes arranging meetings, diary management, ordering refreshments, booking of rooms and liaising with meeting organisers, sending emails on their behalf and other duties which may be required.

Establish and maintain efficient office systems for the team and ensuring it is kept in an organised manner.

Maintain good working relationships with Managers, Consultants, medical/admin staff.

Adhere to health & safety regulations and the security of self and others.

Dealing with email and verbal queries on a day-to-day basis.

  • Advanced knowledge of MS Office appliaction
  • Good telephone manner and have the ability to communicate well at all levels

  • Experience of rota packages and HR electronic reporting system
