West London NHS Trust is seeking a dedicated and enthusiastic Band 3 Administrator to join the Hounslow Community Cardiorespiratory and Post-COVID Service.This is an excellent opportunity to play a vital role in supporting a specialist community team that delivers rehabilitation and self-management programmes for patients with long-term respiratory and cardiac conditions, as well as those recovering from Post-COVID Syndrome.

As a key member of the service, you will provide comprehensive administrative support to ensure the smooth and efficient running of the team. Your responsibilities will include managing referrals, coordinating patient appointments, maintaining accurate clinical records on electronic systems, supporting waiting list management, and acting as a central point of contact for patients, carers, and healthcare professionals.

Main duties of the job

We are looking for someone who is organised, reliable, and proactive, with excellent communication and interpersonal skills. You should have previous administrative experience, ideally within a healthcare or community setting, and be confident in using digital systems and Microsoft Office applications. Attention to detail, the ability to prioritise workload, and a commitment to confidentiality and patient safety are essential.

 

The role is based within community settings across Hounslow, and flexibility to support service delivery across different sites may be required. Qualifications

Essential criteria
  • NVQ Level 3 in Health & Social Care, Administration or equivalent experience.
  • Numeracy and literacy skills sufficient to maintain accurate clinical and administrative records.
Desirable criteria
  • Care Certificate or equivalent.
  • Evidence of continuing personal development.

Experience

Essential criteria
  • Previous experience working in a rehabilitation, respiratory, cardiac, or community healthcare setting
  • Experience taking basic observations (SpO₂, HR, BP).
  • Experience supporting delivery of group classes or patient education (e.g. Pulmonary Rehabilitation, Cardiac Rehabilitation, Post-COVID sessions).
Desirable criteria
  • Basic knowledge of respiratory, cardiac, or Post-COVID equipment and monitoring used in the community.
  • Experience supporting clinicians in home visits or virtual clinics.

Knowledge

Essential criteria
  • Ability to maintain efficient administrative and booking systems.
  • Understanding of confidentiality, information governance, and data protection requirements.
  • Awareness of the needs of people with long-term respiratory, cardiac, and Post-COVID conditions.
  • Understanding of the role of self-management and rehabilitation in long-term condition care.
  • Familiarity with updating and maintaining electronic databases.
Desirable criteria
  • Awareness of NHS and community care pathways for oxygen therapy, pulmonary rehabilitation, cardiac rehabilitation, and Post-COVID management

Skills

Essential criteria
  • Able to communicate effectively with patients, carers, and the multidisciplinary team (MDT).
  • Confident in telephone, face-to-face, and written communication.
  • Able to provide clear information sensitively and challenge appropriately when needed.
  • Able to maintain accurate, concise, and timely clinical and administrative records (electronic and handwritten) in line with Trust policy
  • Competent in maintaining electronic patient records
  • Proficient in Microsoft Word for correspondence and reports.
  • Basic knowledge of Excel for data entry and audit support.
  • Experience or willingness to learn SystmOne or similar NHS database.
Desirable criteria
  • Experience supporting data collection or reporting for service development or audit.

  • Adheres to the Code of Conduct for Health & Social Care Workers.
  • Able to contribute to assessments and group classes under supervision (PR, CR, Post-COVID).

  • Physically able to meet the requirements of the role, including moving equipment between venues and working in varying community environments

  • Venepuncture or basic clinical sampling skills (training can be provided).
