Our hospitals and community sites provide a wide range of inpatient and outpatient services, as well as emergency and planned care. The Trust is rated as “good” or “outstanding” in over three-quarters of the services inspected by the Care Quality Commission.

Every year our work includes performing 10,000 procedures in our theatres; bringing seven and a half thousand new lives into the world; carrying out 570,000 visits to patients in their homes or communities and providing emergency care for more than 300,000 patients arriving in our busy Urgent and Emergency Departments.

LGT is a centre for the education and training of medical students enrolled with King’s College London’s GKT School of Medical Education. We are a training centre for nurses, midwives and allied health professionals. Job overview

The post holder will provide high-quality administrative support to the Improvement Delivery Team including support to the projects and programmes that this team covers. This includes comprehensive administrative, coordination, and information management support to ensure the effective delivery, tracking, and governance of programme activities. The role will focus on maintaining robust programme controls, supporting reporting processes, and ensuring accurate and timely information flow across multiple workstreams to support the successful delivery of organisational priorities. The post holder will also provide administrative support to the senior team.

Main duties of the job

·         Provide an effective administration service to the Improvement Delivery Team and associated projects and programmes

·         To work with relevant Programme Managers and Project Managers to manage and deliver key actions and tasks to keep projects on track

·         Work effectively across a matrix-managed environment, coordinating activities and information across multiple teams, services and workstreams where responsibility and delivery are shared

·         Escalate risks, issues and delays to appropriate project or programme leads

·         Performing routine and ad-hoc data analysis tasks and simple interpretation

·         To maintain a central library of project and programme documentation including RAID logs, programme trackers, dashboards, and efficiency savings trackers

·         Creating and maintaining project spreadsheets, databases, presentations.

·         Monitor programme mailboxes and manage queries, coordinating requests for information and tracking responses

·         Coordinate bookings for improvement training and associated administrative activities

·         Organise meetings, prepare packs, and coordinate logistics including room bookings

·         Take minutes and track actions

·         Support reporting cycles, including the preparation of highlight reports and performance metrics, presentations and meeting materials

·         Maintain document repositories with version control

·         Support data collection, validation and reporting

Detailed job description and main responsibilities

  • Provide an effective project support service to the Trust Efficiency Programme.
  • To work with relevant Programme Managers and Project Managers to manage and deliver key actions and tasks to keep projects on track.
  • To maintain a central library of project and programme documentation and to maintain accurate records and files on the Efficiency programme and associated work streams.

Professional Qualifications , Education and Training

Essential criteria
  • Good standard of secondary education including GCE/GCSE English and Maths (Grade C or above) or equivalent
  • NVQ Level 3 Business Administration or equivalent level knowledge or experience
  • Demonstrates continued professional development

  • Project related personal development

Experience

Essential criteria
  • Experience of providing administrative support to a team
  • Experience providing support to a busy project team with particular focus on data analysis and report writing
  • Experience in working with spread sheets and databases
  • Experience of autonomous, unsupervised administrative work in a busy office environment
  • Experience of taking minutes and re producing to accurate levels
Desirable criteria
  • Experience of working within a PMO
  • Experience of working within efficiency projects
  • Experience of working on improvement programmes

Skills, Abilities and Knowledge

Essential criteria
  • Proficient in Microsoft Office applications including Excel word, Outlook, PowerPoint and Teams
  • Excellent interpersonal and communication skills (written and verbal)
  • Ability to work under pressure and prioritise own workload, often working to tight deadlines
  • Ability to work effectively in a matrix environment, supporting multiple managers, projects and workstreams simultaneously
  • Ability to assist the project managers in the development and preparation of the overall project plans, plan key workstreams in relation to the project
  • Ability to use own initiative and work with minimal supervision
