Our hospitals and community sites provide a wide range of inpatient and outpatient services, as well as emergency and planned care. The Trust is rated as “good” or “outstanding” in over three-quarters of the services inspected by the Care Quality Commission.

Every year our work includes performing 10,000 procedures in our theatres; bringing seven and a half thousand new lives into the world; carrying out 570,000 visits to patients in their homes or communities and providing emergency care for more than 300,000 patients arriving in our busy Urgent and Emergency Departments.

LGT is a centre for the education and training of medical students enrolled with King’s College London’s GKT School of Medical Education. We are a training centre for nurses, midwives and allied health professionals. Job overview

The postholder will be pivotal in planning, co-ordination and project management across a range of projects within the Improvement Programme, the outcomes of which would impact across the whole Trust.

The postholder will work as a key member of the team through the provision of comprehensive and highly professional project management support and senior administrative assistance.  The role will include responsibility for creating, producing, coordinating and maintaining core documentation, information and reporting and the scheduling and maintenance of meetings and workshops.  The postholder will be the first point of contact for enquiries about projects.  
  
The postholder will be responsible for developing, managing, implementing and maintaining information for all the workstreams and monitoring progress against key targets.  
  
The postholder will have broad knowledge and experience and will use their reasoning, intellect and judgement to manage their workload, make decisions and proactively deal with issues independently.  

Main duties of the job

Undertake a full range of high quality project management administrative duties  

Undertake delegated responsibilities for the Programme Lead where appropriate, including managing budgets and delivering value for money projects. 

Analyse, identify and alert any risks and/or issues to the Programme Lead  

Organise meetings and events including regular project / team meetings and workshops  

Input data and produce reports as requested, and monitor progress against key milestones.  

Work as part of the team to build and sustain effective partnerships and relationships with a range of stakeholders.  

Provide an effective secretariat, including project support, diary management and minute taking.

Detailed job description and main responsibilities

Project design and scoping, benefits identification and writing business cases, including  extensive research into new ways of working to improve efficiencies, productivity and  utilisation of services across the Trust.   

Lead on ad hoc projects, working autonomously guided by national and organisational  policies, referring to the manager for guidance.  Produce and update programme plans that take account of multiple sub-projects and the  dependencies that exist between them .

Work with key stakeholders to co-design and deliver improvements across outpatients portfolio. 

Responsible for defining, reviewing and collating key metrics.

Essential criteria
  • Educated to degree level or equivalent experience
  • Project Management Qualification or equivalent experience

Experience

Essential criteria
  • Experience in an administrative and project management role, including experience of creating and maintaining databases and spreadsheets.
  • Experience of maintaining activity to deadlines so project progress remains on track
  • Experienced and effective team worker skilled at networking and establishing positive relationships and rapport with all stakeholders, including senior managers.
Desirable criteria
  • Experience of working in the NHS

Knowledge and Skills

Essential criteria
  • Knowledge of different programme and project management techniques and principles.
  • Ability to plan and organise a broad range of complex activities and adjust plans where necessary.
  • Skilled communicator, able to effectively communicate orally and in writing
  • Ability to take minutes at meetings
  • Proficient in Excel/Word/PowerPoint and Microsoft Project
  • Ability to draw together a range of disparate and complex information in order to identify options and make decisions
  • Ability to plan, implement and evaluate
