Senior Admin Officer - Events
Band 4
North West London Pathology (NWLP) is an NHS pathology partnership joint venture between Imperial College Healthcare NHS Trust, Chelsea & Westminster NHS Foundation Trust and The Hillingdon Hospitals NHS Foundation Trust. NWLP is modelled as a shared services organisation jointly owned by the three Trusts. The organisation is hosted by Imperial College Healthcare NHS Trust and as the legal entity for NWLP our staff are employed by Imperial College Healthcare NHS Trust.
NWLP is based on a ‘hub and spoke’ structure; the majority of routine, specialist and non-urgent activity is centralised at our hub site at Charing Cross Hospital. Urgent tests required for immediate patient management and treatment are performed in 24/7 Essential Service Laboratories based on-site within the seven hospital sites in the group.

We have an exciting opportunity for a motivated and enthusiastic senior admin officer focusing on events to join our small and friendly team responsible for communications and training and development within North West London Pathology.
As a key member of the team your role will be crucial in ensuring the smooth running of all our events. It’s a hands on role and you will also be required to provide front of house support for some of the events. Our events can be face to face and virtual meetings and include inductions for new staff, staff events (for example staff awards), courses, our annual symposium, webinars, workshops, laboratory tours etc.
This is a varied role and would suit someone who thrives in a busy environment, can work under their own initiative and has strong administrative and time management skills. Key to your success in this role will be having a methodical approach to work with the ability to initiate, implement and complete multiple tasks to a high standard with minimum supervision.
You will act as first point of contact and will deal with any queries and promptly respond or escalate, as required, any issues or concerns. You will be customer focused and engage with all internal and external stakeholders in a professional and positive manner.
You will need excellent communication and IT skills and be able to work well under pressure.
Previous experience of working in an events related role is essential.
Prif ddyletswyddau'r swydd
The main purpose of this role is to support and deliver our events programme (monthly staff induction, training events, symposium, conferences, workshops, off site meetings, etc). You will be responsible for the day-to-day administration of events under the direction of the head of communications and the training and development manager.
You will help to plan and develop these events, liaise with venues and suppliers, maintain budgets and resources, produce documentation and materials, and deliver event support and administration including registration, candidate / delegate experience and post-event feedback.
You will be responsible for delivering front-of-house support for the events such as registration, logistics, timings and arrangements.
You will process financial payments and co-ordinate purchasing and invoicing functions (POs, invoices, requisitions etc).

NWLP Induction
The NWLP induction will run on the first Monday of each month (provided it does not fall on a bank holiday) and includes laboratory training (for relevant laboratory roles). All new staff must attend the NWLP induction during their first week with NWLP.

EXPERIENCE

- Experience of processing financial payments (POs, invoices, requisitions etc)
- Advanced level experience of using Microsoft Office – in particular excel as a database
- Experience in a customer service, or front line customer-facing, role.
