We are looking for someone to be the first point of contact at our corporate office at Friars Bridge Court, offering a warm welcome to internal and external visitors alike, while providing high-level administrative support to the Executive Support Manager and Executive Assistant team.

Reporting to the Executive Support Manager, you’ll play a key role in ensuring the smooth running of office operations, systems, and procedures in line with company guidelines. This role requires absolute discretion when handling confidential and commercially sensitive information, as well as a strong sense of professionalism and integrity in everything you do.

Main duties of the job

In this varied and interesting role you will:

 

  • Welcome and manage all visitors, ensuring smooth access and a professional first impression
  • Oversee reception and meeting room environments, including bookings, layouts, and refreshments
  • Handle incoming calls, correspondence, and courier services
  • Support internal departments with a range of administrative tasks including printing, scanning, and document preparation
  • Assist with the coordination of travel bookings, room reservations, and catering arrangements
  • Manage office supplies, staff ID cards, lockers, and desk bookings
  • Maintain accurate records, monitor office issues, and support health & safety as a Fire Warden
  • Assist the Executive Support team with ad hoc tasks

Detailed job description and main responsibilities

At Synnovis, we are currently shaping the future of pathology services by creating a world-leading Hub and Spoke pathology network with our NHS partners. A large part of this modernisation will involve moving 70% of our services to a purpose built, state of the art Hub laboratory in the heart of London. For now, the job you are applying for will be based at one of our hospital sites however, from 1 April 2024 our people and services will start to move to our Hub laboratory in Blackfriars, Southwark, SE1, with some work remaining in refurbished essential services laboratories across our hospital network, focusing on the rapid turnover of urgent tests.   • Ensuring the reception desk is manned during the hours of 8.30am until 5.00pm, as per the rota to enable the welcoming of on-site visitors, determining nature of business and announcing to appropriate person.
  • Taking responsibility for the reception area and meeting room environment including: preparing meeting rooms, providing refreshments/change of layout and keeping them tidy and always presented to a high standard. This also includes moving meetings around to accommodate best use of the meeting rooms for corporate staff
  • Responsible for operating the telephone system to answer all incoming calls, determining purpose of call and directing callers to the appropriate person or department.
  • Liaising with internal colleagues as and when required to ensure office administration tasks and reception duties are completed correctly and in a timely way such as printing, photocopying, binding, scanning and filing. Assist in the production of reports, presentations and documents.
  • Assist with external room and travel bookings, this will also include arranging catering for meetings when appropriate, liaising directly with suppliers and ensuring that requirements are ordered, received and fulfilled as per the original request
  • Ensuring that the required levels of stationery and office supplies are maintained and that orders are placed in accordance with the procurement catalogue and processes.
  • Ensure the reception desk and post room are kept tidy.
  • Providing cross cover whilst front of house colleagues are absent.
  • Regularly maintaining and updating the office information documents. Liaise with department heads and HR to ensure reception is kept up to date with new starters and leavers and ensuring passes are given out and collected/stopped as appropriate.
  • Building credible and professional relationships with key staff and stakeholders.
  • Raising purchase orders and goods receipt via the internal finance system for Company purchases.

Qualifications

Essential criteria
  • Educated to GCSE standard with A-C in Mathematics and English or equivalent
Desirable criteria
  • Educated to A-Level standard or equivalent

Experience

Essential criteria
  • Relevant experience of working in a corporate office environment as a receptionist and/or Office Administrator with comparable responsibilities
  • Ability to problem solve and demonstrate a solutions orientated approach
  • Excellent prioritisation skills with the ability to manage multiple tasks and deadlines effectively
Desirable criteria
  • Demonstrable experience of working in a busy Corporate Head Office

Skills & Knowledge

Essential criteria
  • Clear and accurate written communication skills

  • Experience working in customer service
