The Histopathology department is looking for an enthusiastic, self-motivated Band 4 Medical Secretary in Histopathology to join the Synnovis Histopathology administrative team at several leading national NHS Foundation Trust. Guy’s and St Thomas’ Hospital and King’s College Hospital based in Central London, and the Princess Royal University Hospital in Orpington, Kent.

The ideal candidate will be a quick learner, good team player and keen to develop their administrative and people skills through interaction with patients and fellow colleagues (both clinical and non-clinical) in support of our diagnostic service

This office-based role is a patient focused role will give you the job satisfaction that comes from knowing we are putting patients first.  You will be assisting a group of scientists/clinician who are experts in histology and pathology which provides an important service for the NHS. The role will be based at Histopathology Department at the Princess Royal University Hospital, Orpington Kent. 

Main duties of the job

This role is responsible for providing an effective multi-disciplinary meeting (MDM) co-ordination service within the Department of Histopathology as part of the Laboratory team in Synnovis. Reporting to the Tissue Sciences Management Team, you will hold a variety of responsibilities to ensure the successful delivery of pathology services, in line with our corporate objectives.

The post-holder is responsible for providing an effective multi-disciplinary meeting (MDM) co-ordination service within the Department of Histopathology. This post is designed to act as the key support for MDM’s in the department, working together with the Histopathology office staff and laboratory staff. The post-holder will act as the main liaison point for clinical teams sending lists of patients to be discussed at MDM’s and also for the Histopathology medical staff. The post-holder will be responsible for receiving patient lists from various sources, assigning the relevant laboratory case number information and retrieving the cases to give to Consultant Pathologists in a timely manner, for them to subsequently present at the MDM. The post-holder is responsible for ensuring that the Consultant Pathologists have all the relevant case details prior to the meetings and are kept informed of any issues arising with sufficient notice. The post-holder will liaise with clinical teams and the departmental medical, office and laboratory staff to maintain and continually improve the MDM service provided by the department.

Taking receipt of MDM patient lists from various clinical and administrative teams. 
To organise and implement effective cover to ensure the workload for the specialty sections is processed in a timely and efficient manner.
Using the Laboratory Information Management system (LIMS) to assign relevant case number information. 
Locating and retrieving the relevant cases in a timely fashion from the departmental filing rooms and off-site storage facilities. 
Working with the laboratory staff to locate specimens required for the MDM. 
Providing the relevant cases to the Consultant Pathologist presenting the histology cases for the MDM. 
Liaise directly with clinical teams to send prompt delivery of patient lists and handling of any enquiries.

Detailed job description and main responsibilities

At Synnovis, we are currently shaping the future of pathology services by creating a world-leading Hub and Spoke pathology network with our NHS partners. A large part of this modernisation will involve moving 70% of our services to a purpose built, state of the art Hub laboratory in the heart of London. For now, the job you are applying for will be based at one of our hospital sites however, from 1 April 2024 our people and services will start to move to our Hub laboratory in Blackfriars, Southwark, SE1, with some work remaining in refurbished essential services laboratories across our hospital network, focusing on the rapid turnover of urgent tests. This role supports the day-to-day running of the administrative and secretarial function. Reporting to the Office Manager, you will hold a variety of responsibilities to ensure the successful delivery of pathology services, in line with our corporate objectives.

Supporting the Office Manager, you will hold a variety of accountabilities. These may include, but are not limited to:

  • Provide a full secretarial service that reflects the particular needs of the service.
  • Maintain an effective administrative function for the service.
  • Perform main duties such as the transcription of records, the composition of routine letters, maintaining and updating of Health and Safety and Standard Operating Procedures (SOPs) relevant to the section.

Key Responsibilities

  • Provide secretarial assistance to the clinicians in co-ordination with other secretaries within the department.
  • Deliver and retrieve medical records as appropriate for use in delivering services whilst maintaining strict confidentiality and adhering to Information Governance (IG) guidelines.
  • Where appropriate, ensure that all outcomes are updated on the computer by stipulated deadline.
  • Enter clinical information and laboratory results onto the appropriate computer systems.
  • Perform general office administrative duties including dealing with incoming and outgoing correspondence, filing and photocopying, and maintain the departmental filing systems.
  • Arrange and attend meetings, taking minutes where required.
  • Maintain appointment diaries and inboxes; organise travel arrangements and record any appropriate expenses.
  • Support Operational Management in recruitment, onboarding and local induction, ensuring SOPs are followed.
  • Where applicable, train and supervise junior administration and clerical employees, plan and organise the office work, inform the Office Manager of staff performance levels highlighting any concerns.
  • Organise and implement effective cover to ensure the workload of the specific specialty sections is processed in a timely and efficient manner.
  • Ensure the provision of an effective telephone answering service for all sections of the department. Receive and tactfully provide advice and instruction to visitors, staff and patients.
  • Highlight any system errors to Operational Management and undertake any necessary corrective action as required.
  • Assist the Operations Managers in requisitioning and maintaining adequate supplies of office consumables.
  • Support, maintain and update SOPs as required covering all aspects of activities within the administrative function.
  • Support in any local performance audits as required.

Qualifications

Essential criteria
  • Good all-round education to GCSE standard including English and Maths at grade 4/C or equivalent
  • LCCI private secretary’s certificate/Diploma/AMSPAR or equivalent

Experience

  • Working as a Medical Secretary in team environment
  • Scheduling and minuting meetings, dictation, and providing medical transcription services
  • Operating Laboratory Information Management and Electronic Patient Records systems
  • Working with computer applications such as Microsoft Office
