We have an exciting opportunity to join the newly formed Wellbeing and Resilience Hub, otherwise known as KeepingWellNEL !
Following this especially challenging year, we have received a grant from NHS England to open a Wellbeing service for all NHS and Health and Social Care staff in North East London. KeepingWellNEL has been set up to address the impact this has had on our wellbeing.
We provide a safe and confidential listening service and signposting support for our culturally diverse workforce via live chat, SMS, telephone or by accessing information on the website.
We aim to ensure KeepingWellNEL is not only helpful for all staff, but relevant and culturally cohesive. We believe that breaking down stigma around asking for help is vital in maintaining our wellbeing. This is a core focus for our team and we aim to listen and shine a light on the aspects of wellbeing that our team and colleagues identify as important.
We are a fully remote service and are open Monday to Saturday 8am to 8pm.
Main duties of the job
We are recruiting a Team administrator to join us at KeepingWellNEL.
The postholder will be responsible for a wide range of administrative duties ensuring all work is completed accurately and in a timely manner. You will:
- Provide high quality administrative and business support to the Team
- Use your own initiative to resolve problems and queries based on experience, judgment, collaboration and supervision
- Have excellent communication skills, both written and verbal
- Be required to have a good working knowledge of Word, PowerPoint, Outlook, Publisher, Excel and MSTeams with experience using databases, spreadsheets, formulas and charts in high confidentiality and preferably patient context
- Experience in accurate and swift data entry
- Prepare agendas and take minutes where required
- Use instant and web and communication technologies
Duties will include assisting with the inputting of patient data, processing of referrals, dealing with enquiries, dealing with patients’ records and other general administration duties as required.
This is a remote working role. Working, receiving or providing supervision takes place over Microsoft Teams or other technologies.

Working for our organisation

Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focusing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.
High Cost Area Supplement – London
This post also attracts payment for High Cost Area Supplement of 15% of the basic salary (minimum payment of £4,108 and a maximum payment of £5,177 per annum).
Detailed job description and main responsibilities
Duties and responsibilities include:
To ensure all duties and responsibilities are carried out strictly in accordance with patient
confidentiality and the Trust information Governance policy.
To take telephone referrals, enter data on Trust and Service specific databases and spreadsheets, arrange appointments and make up client file in accordance with policy.
The preparation of correspondence and reports utilising word processing and computing
skills, to include audio and copy typing
The photocopying and distribution of documents
Taking telephone enquiries and messages, ensuring accuracy, confidentiality and prompt attention of same.
The taking and recording of telephone referrals to the Team in accordance with policies.
Responsible for the adherence to, and maintenance of, all office systems and procedures.
General and complex secretarial/clerical tasks
Taking of minutes when requested
Recording statistical information as required
To undertake reception duties shared within the administration team and deal with enquiries promptly and courteously as required
Any other duties as may reasonably be required in accordance with office procedures and practices, taking account of the grade of the post.
The above duties are neither exclusive nor exhaustive, and the post holder may be required to carry out such other appropriate duties as may be required by the Administrator within the grading level of the post and the competence of the post holder.
