Job overview

The RNOH Materials management team is a dynamic and diverse team who supply the Trust with a first class service to ensure the right clinical equipment, for the right clinician and the right patient at the right time every time.

The key purpose of the role is to undertake the ordering of materials and stock and the work streams associated around this as well as assist and manage all aspects of the distribution service in relation to all clinically related consumables, including all aspects of PPE under the direction of the Supply chain & logistics Manager.

Good communication skills and the ability to work on your own initiative in delivering & promoting Materials management Trust-wide are desirable. Having an understanding of general procurement standards as well as NHS supply chain and the EDC eProcurement systems are also desired skills for this role.

Main duties of the job

The post-holder will be expected to actively manage clinical and other stock associated with the functioning and effectiveness of a specialist NHS Hospital.

This will also include managing and monitoring all PPE, clinical goods receipting, ordering and inventory management tasks as well as visiting the service user departments, undertaking meetings with end users concerning stock issues, undertaking of inventory stock ordering using Automatic Data Capture, hand held devices and other Materials Management systems, liaising with the relevant Trust Team/committees as well external partners from NCL and NHS supply chain on a daily basis.

The Trust is looking for a person with excellent communication skills, the ability to inspire high levels of team work and maintain a good and safe environment for all staff, patients and visitors. As a key liaison between Procurement and the wider clinical teams, we are looking for a person who has the ability to be flexible, responsive whilst maintaining a professional demeanour at all times as this is key to the role.

Experience in an NHS environment would be advantageous as would experience in procurement methodology and practice.

Working for our organisation

The RNOH Procurement dept. are a dynamic and diverse team providing a full procurement service to the Trust ensuring value for money at all times with a high focus on cost improvement and efficiency gains whilst ensuring the standing financial instructions for the Trust are maintained at all times. As a team they are fully accredited to the NHS level 1 procurement & commercial standards since 2019 and are working towards the next phase for level 2 accreditation.

The team are based in the Stanmore hospital site and split across 2 depts. these being Main theatre stores (adjacent to Main theatre) and Main Procurement adjacent to our MRI dept. and the Wood lane entrance. As an “onsite” procurement team we have the ability to respond swiftly and efficiently to all stock and supplies needs for the organisation utilising the Trust’s materials control processes and systems in line with NHS protocols for procurement and commercial transactional work streams.

There is a culture of continued professional improvement within the dept.  Training and support is regularly offered and actively encouraged by the management team to the whole team.

Detailed job description and main responsibilities

The post holder will be expected to be a key member of the Materials management team especially concerning clinical stock and placing weekly orders as part of the Materials management methodology as well as other duties such as annual stock takes and inventory management implementation.

The post holder will need to demonstrate an understanding of IT systems and preferably have a background in procurement, have the ability to communicate professionally with a wide variety of stakeholders and provide an efficient materials management service to the Trust & the Procurement team.

Essential criteria
  • A-level or NVQ L3 or equivalent experience of min 2 years in a related environment
  • Inventory Management skills
  • Experience of distribution & storage of high turnover critical stock lines
  • IT skills (use of Microsoft Outlook, Word, Excel, Project, Power-point and also web-based searches
  • Understanding procurement processes and methodology.
  • To be able to run-back order checks and to avoid stock out situations.
  • Understanding of eProcurement and ability to raise purchase orders.
